Job Purpose The Sales Executive Assistant provides executive-level, proactive support to enable the Director of Sales to focus on strategic, revenue-driving priorities. This role also manages administrative tasks and team logistics, ensuring seamless communication, operational efficiency, and alignment across the Sales organization.
Duties and Responsibilities As a BELAY Corporate Team member, you will professionally represent the company in all virtual and in-person interactions. You are expected to exemplify our mission, vision and core values daily, fostering a collaborative and positive team environment.
Key Responsibilities
Act as an extension of the Director of Sales, serving as a liaison to the team, clients, contractors, and partners
Anticipate the Director’s needs and conserve their time by proactively managing tasks, drafting and reviewing correspondence, preparing presentations, conducting research, and coordinating professional and personal development opportunities
Manage complex calendaring and appointment setting, vetting and prioritizing meetings while balancing the Director’s preferences and providing recommendations for professional and personal priorities
Draft and distribute internal team communications, leadership updates, and motivational messages aligned with the Director’s tone and strategic intent
Own the Director’s strategic cadence — including weekly reviews, quarterly planning, and reflection sessions — by ensuring all prep materials, metrics, and follow-ups are ready and on schedule.
Ensure all meeting details are accurate in advance, including time zones, addresses, contact information, notes, and agendas, and confirm all meetings
Support preparation and follow-through on coaching conversations, team OKRs, and 1-on-1 sessions in Paycor
Plan for preparation time before and between meetings and events to maximize efficiency
Coordinate executive travel, including flights, ground transportation, lodging, meals, and reminders, leveraging preferred travel programs and ensuring all logistics are confirmed
Update and maintain sales metrics in dashboards and reports, ensuring accuracy and timeliness
Manage email inboxes, draft internal and external communications on behalf of the Director, and maintain strict confidentiality
Coordinate and manage team and client gifting, including handwritten notes
Prepare and file weekly expense reports, tracking reimbursement status
Perform ad-hoc professional or personal tasks or projects as delegated by the Director
Provide administrative support to the Directors’ direct reports as needed
Plan and execute internal team meetings and events, ensuring smooth logistics and follow-up
Collaborate with Director-level Executive Assistants to stay current on technology, industry trends, and best practices
Serve as a strategic partner to the Directors of Sales, actively contributing to the achievement of team's OKRs and sales targets through proactive coordination, prioritization, and execution of initiatives. Anticipate needs by understanding key sales rhythms, metrics, and pipeline drivers, ensuring the Director is always focused on the most high-impact activities.
Maintain visibility into sales dashboards and Salesforce CRM data to identify trends, discrepancies, or areas requiring the Director’s attention.
Partner with the Revenue Enablement/Team Admin and Director to prepare insights, reports, and talking points for leadership meetings, forecasting sessions, and sales reviews
Collaborate with sales, marketing, and operations teams to ensure alignment and smooth execution of projects and client initiatives
Collaboration & Professional Development
Partner with Director-level Executive Assistants to stay current on technology, industry trends, and best practices
Contribute ideas for improving workflows, documentation, and team communication
Support team onboarding, training, and mentoring where applicable
Confidentiality & Compliance
Handle sensitive client, team, and company information with discretion and professionalism
Ensure all tasks and communications comply with internal policies and industry standards

Bachelor’s degree or equivalent work experience
Proven experience supporting senior executives, preferably in sales or client-facing organizations
Strong organizational, attention to detail, and time management skills, with the ability to manage complex calendars, prioritizing and anticipating needs
Proficiency with CRM systems (Salesforce, HubSpot, or similar) and experience maintaining accurate sales data and dashboards
Advanced skills in Google Workspace and familiarity with collaboration tools such as Slack and Zoom
Experience coordinating travel, meetings, and events with attention to detail and efficiency
Ability to handle sensitive information with discretion and maintain confidentiality
Strong problem-solving skills and a proactive, solutions-oriented mindset
Experience with expense reporting, budgeting, and reconciling departmental or team expenditures
Comfortable collaborating across departments and with external partners
Ability to work and manage multiple projects simultaneously, and adapt quickly to changing priorities
Positive, professional demeanor and ability to build trusted relationships with executives, team members, and clients
Working Conditions BELAY Corporate offers full-time remote work, requiring a dedicated, distraction-free home office for standard Monday-Friday business hours, with occasional travel for some roles. As a full-time, non-exempt W-2 employee, you'll join a vibrant, award-winning company culture where you're a valued, engaged team player in a thriving organization.
