Position Overview:

As the Executive Assistant to the CEO, you will play a crucial role in the daily operations of the company, managing the CEO’s calendar, inbox, and owning key administrative tasks. You’ll be the right hand and strategic partner to the founder, ensuring that the company’s most valuable asset—time—is maximized. This role goes way beyond scheduling. You’ll act as a force multiplier: anticipating needs, removing friction, and helping drive forward the priorities that matter most to the business. Key Responsibilities: Inbox Management: Monitor and manage the CEO’s inbox, emails, respond to inquiries, and flagging urgent matters that require the CEO’s attention.

Calendar Management: Oversee and manage the CEO’s calendar, ensuring time is optimized, meetings are scheduled appropriately, and conflicts are resolved.

Administrative Support: Provide high-level administrative support to the CEO, including preparing documents, research, and data management for Create, Advance, Close, creating playbooks, accounting and invoicing tasks, member onboarding and engagement, member issue resolution, and owning other administrative tasks.

Project Coordination: Assist with the execution of special projects by coordinating with teams, ensuring deadlines are met, and tracking project progress.

Meeting Preparation: Prepare agendas, Meeting Planning Worksheets, and follow up on action items for key meetings with the CEO.

Research & Reporting: Assist the CEO in gathering information for strategic decisions and provide regular updates on project status, key initiatives, and relevant market trends.

Confidentiality: Handle sensitive company/executive information with discretion and confidentiality.

Cross-functional Collaboration: Work with various departments to facilitate smooth operations and ensure that the CEO is kept up to date with company-wide developments.

Thinking Ahead: The best EAs don’t wait to be asked; they anticipate what their executive needs before it’s even voiced. Whether it's preparing materials for a meeting, reminding of key tasks, or continuously recommending improvements to help the CEO and team grow the company, they are always one step ahead.

Qualifications: Experience:

At least 3-5 years of experience as an executive assistant or in a similar administrative role supporting senior leadership, preferably in a fast-paced environment.

Skills:

Exceptional organizational and time-management abilities. Strong written and verbal communication skills. Ability to manage multiple priorities and deadlines efficiently. Proficient in Microsoft Office Suite, Google Workspace, and other productivity tools.

Attributes:

High attention to detail and a proactive approach to problem-solving. Strong interpersonal skills, with the ability to work effectively with various teams. Flexible and adaptable to changing priorities and fast-paced environments. Positive, can-do attitude and willingness to take on new challenges. A passion for delivering outstanding service. Highly organized, self-motivated, and able to work independently. Ability to sit and focus on computer screens and interpret customer feedback or data for long periods. Ability to communicate clearly and effectively in person, over the phone, and via video conferencing.

Preferred Qualifications:

Experience in home services or the construction/renovation industry. Experience in marketing is a major plus: social media management, SEO, Google Business Profile. Familiarity with SaaS or subscription-based business models. Knowledge of customer success tools (e.g., Thryv, Service Titan, Jobber, Housecall Pro). Experience with customer retention strategies and techniques.
