About the Position IFAS is seeking a Research Administrator I to join the Agricultural and Biological Engineering department (ABE), a unit within IFAS. Employment with IFAS provides an opportunity to work with dedicated employees focused on developing agricultural, human, and natural resources knowledge and making that knowledge accessible to sustain and enhance quality of life.

Key Responsibilities

Pre/Post Award Administration: Reviews award documents for acceptance and processing, assesses grant and contract award terms and conditions, determines budget, restrictions, and other pertinent information, and communicates that information to key personnel. Completes award setup and budget reconciliation in UFIRST and sets up projection and tracking tools. Provides comprehensive award management and monitoring of post‑award activities, including payroll distributions, commitments, effort, FARs, budget modifications, subaward monitoring, cost transfers, and no‑cost extensions. Processes payroll distributions and effort for the assigned PIs and all employees paid on sponsored programs funding, ensures project effort commitments on Faculty Assignment Reports (FARs) are accurate, monitors effort for timely reporting, reconciles expenditures, and assists PI with subrecipient monitoring responsibilities.

Budgetary: Evaluates each aspect of the research proposal budget to ensure compliance with University, state, agency, and departmental policies. Documents special requirements and ensures commitment is properly approved, using various sources of information to verify accuracy, and contacts PIs and DSP as needed.

Research Compliance: Maintains familiarity with compliance‑related aspects of awarded projects and University rules and policies that govern those issues, ensuring compliance in pre‑ and post‑award activities.

Sponsor Requirements: Develops and reviews research proposals and awards to ensure compliance with sponsor requirements prior to submission, interprets sponsor guidelines, reviews contracts and awards, and provides guidance to faculty. Handles technical assistance in document preparation, submits proposals to PeopleSoft, and maintains knowledge of university, state, and federal laws.

Project Support: Assists PIs in interpreting policies and procedures, completes daily post‑award activities, allocates expenditures to sponsored research projects, gathers and documents reports, and works closely with C&G Research Administrators for financial report accuracy.

Research Payroll/Effort Management and Reconciliation: Reviews post‑hire payroll actions for faculty and non‑faculty personnel, determines correct funding sources, updates payroll budget tables, coordinates with HR for appointment letters and tuition waivers, reconciles efforts, and ensures timely correction of errors.

Project Review/Audits: Works with Contracts and Grants during audit requests to supply documentation and responses.

Project Closeout: Collaborates with Contracts and Grants staff to administer award closeout, ensuring charges, encumbrances, and cost sharing are appropriately closed and final figures are accurate.

Expected Salary $22.03 - $24.90 per hour, commensurate with education and experience.

Required Qualifications A bachelor’s degree; or an equivalent combination of education and experience.

Preferred Qualifications

Ability to communicate well, verbally and in writing, with faculty, staff, and funding sponsors.

Ability to act as liaison and use communication skills with various grant and contract funding sources.

Skill in evaluating and providing technical assistance for proposals and data relative to submission.

Knowledge of all current rules, regulations, policies, and procedures relating to funding sponsors, the State of Florida, the University of Florida, and the College of Engineering.

Knowledge of data collection methods, computer database management, maintenance, and manipulation.

Proficiency in problem‑solving techniques and building effective working relationships.

Professional code of conduct as a public employee.

Ability to work independently and prioritize tasks effectively.

Understanding of University payroll, personnel, and accounting structure, including appointment systems, state titles, purchasing, and travel.

Proficiency in office applications, including PeopleSoft, Adobe tools, and Microsoft Office (Excel, Word, PowerPoint, Power Pivot).

Strong interpersonal skills for collaborative teamwork.

Capacity to function under stressful circumstances.
