Job Summary:
The Mailroom Operator is responsible for operating high-level mail equipment, including inserters, sorters, and finishing machines, in a high-speed and high-volume environment. The role involves managing mail processes, packaging, labeling, shipping, and distribution while ensuring accuracy, efficiency, and compliance with company standards and postal regulations.
Key Responsibilities: Operate mail inserters, sorters, finishing equipment, and other mailroom machinery. Perform mail labeling, mail merges, and address cleanup using cleansing software. Manage automated and manual processes for finishing and mailing client materials. Track and report postage, express delivery, and fax charge-backs. Maintain and update mailing address databases and bar code address quality reviews. Handle packaging, posting, and fulfillment of high-volume mail operations. Receive, sort, and deliver mail, documents, and packages according to schedules. Prepare mail and packages for external shipment, coordinating with USPS and courier services. Track and resolve mail and shipping issues with postal and express services. Perform finishing work such as folding, inserting, and assembling mail materials. Conduct quality checks on outbound mail and validate internal mailing addresses. Process electronic mail distribution (scanning, prepping, and distributing). Maintain logs and records for accountable mail and shipments. Monitor and replenish mailroom supplies and inventory. Operate and maintain all shipping and mail equipment and report service needs. Ensure compliance with mailroom security procedures and safety guidelines. Train and mentor other mail associates as needed. Required Skills:
Ability to lift and move up to 50 pounds. Proficiency in reading, writing, and following English instructions. Intermediate computer skills including: MS Word: formatting, tables, headers/footers, and mail merges. MS Excel: creating charts, formulas, and managing multiple worksheets. MS PowerPoint: creating and printing presentations. Adobe Acrobat and file conversion tools. Basic understanding of network setup (e.g., adding printers) and Digital Front Ends. Knowledge of mailroom systems such as Pitney Bowes, postage meters, inserters, and envelope printers. Customer service and communication skills. Strong organizational and multitasking abilities. Ability to perform duties with minimal supervision and meet deadlines. Data entry and production mail software proficiency. Ability to estimate and schedule mailing jobs, including staffing and time requirements.

1–2 years of experience with mailroom operations and mail equipment handling.
