Eagle One Solutions, Inc., a Chenega Professional Services company, is looking for an Administrative Assistant with strong business analysis skills to directly support an assistant Program Executive Office (aPEO) and deputy aPEO reporting to the Chief Information Officer (CIO). The main duty of this role is to anticipate and relieve the leader of program and administrative support functions, increasing their bandwidth for critical senior staff‑level responsibilities. The Administrative Assistant will interface with CIO Leadership, aPEOs, and stakeholders across partner organizations.

Responsibilities

  • Conduct research as requested and consolidate findings into briefing packages/presentations for the aPEO.
  • Prepare statistical reports regarding program functions.
  • Handle information requests from various stakeholders, including from internal team members.
  • Coordinate all aPEO taskings for the senior staff.
  • Return calls on behalf of senior staff.
  • Refer administrative problems/situations to the appropriate individual.
  • Take and disseminate minutes at staff meetings.
  • Communicate with external and internal offices as required by management.
  • Keep the aPEO and the Deputy aPEO informed with all senior staff level support activities.
  • Schedule, coordinate, and prioritize appointments, meetings, and training initiatives.
  • Maintain all contact and stakeholder lists.
  • Arrange in‑person, virtual, or hybrid meetings.
  • Adhere to internal meeting procedural guidance.
  • Prepare briefing materials and brief the executive in advance of meetings.
  • Prepare meeting agendas, schedule rooms, and notify participants.
  • Attend meetings to take minutes and record action items.
  • Follow up with appropriate staff to track action items and assure timely completion.
  • Create PowerPoint presentations for the executive.
  • Screen correspondence, publications, directives, and periodical materials prior to the review and acceptance by senior staff.
  • Develop drafts and manage all correspondence.
  • Manage the Tasker system for the completion of all PMO tasks by programs.
  • Notify appropriate staff of the need for information or recommendation and prepare draft response.
  • Create reports (budgetary, informational, weekly, statistical, etc.), meeting minutes, and document drafts as requested.
  • Complete forms and documents for signature when required.
  • Complete any other duties that typically fall within routine administrative support work requested by the Deputy.
  • Other duties as assigned.

Qualifications

  • Bachelor's degree in administration, business, or a related field.
  • Minimum of 2 years working as an Administrative Assistant or Business Analyst for a high‑level executive; prior Federal experience preferred.
  • Ability to obtain public trust.

Estimated Salary/Wage – USD $80,000.00 – $90,000.00 per year.

Seniority level: Mid‑Senior level.
