Administrative Assistant


Under general direction of Department Chairs, Directors, and Program Coordinators, this role provides essential administrative and operational support to academic departments and the Faculty Building. This fully on site role serves as the first point of contact for faculty, staff, and visitors, supporting daily office operations, event coordination, and student employee oversight. This position is ideal for individuals looking to grow their skills in higher education administration and office management.


Key Responsibilities


  • Serve as the main point of contact for faculty, staff, students, and visitors in the Faculty Building.
  • Provide general administrative support: scheduling, meeting minutes, document preparation, and department mailings.
  • Assist with faculty contract processing and support preparation for regulatory or accreditation visits.
  • Coordinate departmental and campus events, including logistics, RSVPs, and vendor communication.
  • Oversee student workers: recruit, train, assign tasks, and track hours.
  • Maintain calendars, office equipment, and departmental records.
  • Provide ad hoc support to faculty, staff, and leadership as needed.

Qualifications


  • Associate’s degree required; Bachelor’s preferred.
  • 2–5 years of office administration experience, preferably in higher education.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and willingness to learn institutional systems (e.g., Banner, PeopleSoft, Coursedog).
  • Strong organizational, time management, and communication skills.
  • Ability to manage multiple priorities, follow procedures, and work independently while collaborating effectively with team members.
  • Familiarity with online scheduling, learning management systems (e.g., Canvas), and communication platforms (Zoom, Teams, SharePoint) a plus.

Compensation


$21.00/hr
