Overview Gateways Hospital and Mental Health Center’s Conditional Release Program (CONREP) is seeking to fulfill the role of Office Manager in its San Diego County location. This forensic outpatient program provides court and parole mandated treatment and supervision to individuals committed as Not Guilty by Reason of Insanity, Offender with a Mental Health Disorder, or Incompetent to Stand Trial.
Base pay range $28.14/hr - $30.60/hr

Introduction
Gateways Hospital and Mental Health Center’s Conditional Release Program (CONREP) is seeking to fulfill the role of Office Manager in its San Diego County location. This forensic outpatient program provides court and parole mandated treatment and supervision to individuals committed as Not Guilty by Reason of Insanity, Offender with a Mental Health Disorder, or Incompetent to Stand Trial.
Responsibilities
Performs all administrative duties, including answering phones, scanning, filing, faxing, mailing, printing, collating, and uploading/downloading documents.
Maintains, participates in, and transcribes accurate meeting minutes.
Maintains and updates departmental logs (e.g., CONREP census tracking, Master Grid, CFAP referrals, waivers, etc.).
Organizes and maintains clear documentation of information received, including various grids and records from jails, court, and other entities.
Constructs forms, rosters, checklists, etc., to facilitate program operations.
Coordinates accounts payable check requests with the hospital finance department.
Maintains petty cash in accordance with agency guidelines.
Oversees Life Support invoicing, repayment, and collection, as well as monthly rent payments.
Oversees client accounts and weekly banking, ensuring accurate record keeping and timely notification of concerns to the Program Director and/or Forensic Clinician.
Acts as a liaison to the Business Office to ensure accurate record keeping of all client transactions.
Works with the Case Manager to track clients’ benefits and life support balances; assists with duties in the Case Manager’s absence (e.g., urine drug screens, transportation, communications with SSA, health insurers, etc.).
Coordinates with outside service providers (e.g., shredding, pest control, building management, vendors) to ensure service consistency and timely payment of invoices.
Coordinates with pharmacy and labs (e.g., LabCorp, Quest) to ensure timely medication delivery and billing; maintains relationships with providers.
Maintains IST grids and communicates about out-of-custody matters; coordinates with Gateways Satellite team regarding patient transfers and life support needs.
Conducts facility orientation for newly hired staff; maintains professional communications with internal departments and external partners to ensure smooth program operation.
Assists with office maintenance and IT coordination, including reporting computer problems to IT Support and following up on repairs.
Supports program development and administrative functions (e.g., quality indicator reports: QI, MRR) as needed.
Proficiently uses Microsoft Office Suite, electronic medical records, and SharePoint.
Keeps the team updated on policy and procedure changes when needed; collaborates with the multi-disciplinary treatment team with timely and effective communication.
Maintains professional communications with community agencies (statewide CONREP programs, courts, legal entities, visitors, and other professionals as needed).
Facilitates COT Admissions and communicates with courts, family members, attorneys, and partners.
Documents communications for IST defendants and provides timely information to the appropriate personnel.
Ensures proper completion of pertinent paperwork when a patient’s status changes (e.g., revocation, AWOL, discharge) by sending required forms to CONREP Administration.
Coordinates IST evaluations, scheduling interviews with evaluators and related entities; maintains scheduling grids.
Acts as a liaison with CONREP Operations regarding database updates, CAP/DSH reports, procedures, and issues.
Maintains an objective and professional relationship with clients at all times.
Ability to work independently and handle interruptions; maintain a neat and orderly office; ensure supplies are stocked and ordered timely.
Collaborates with the HR department to remind and complete annual renewals and onboarding processes following Gateways’ nondiscriminatory policies.
Supports physicians and nurse practitioners with scheduling, managing wait room, EHR entry, and related tasks.
Files all documents related to the evaluation unit on the G drive using the appropriate naming format.
Maintains ongoing professional development and takes on additional tasks as needed.
Qualifications
Proficient in Microsoft Office Suite, electronic medical records, and SharePoint.
Strong organizational and documentation skills; demonstrates ability to work with multiple departments and external partners.
