Responsibilities Enrollment & Community Engagement
Recruitment:
Attend community events, educational fairs, and host open houses to recruit and enroll new students.
Inquiries:
Respond to all inquiries, schedule appointments and tours, and follow up using Childcare CRM protocol.
Database Management:
Maintain student inquiry, enrollment, and attrition database.
Community Relationships:
Develop relationships with local schools, admissions directors, and community organizations to enhance name recognition.
Family Engagement:
Maintain relationships with current families by attending meetings and school events.
Alumni Relations:
Establish and maintain relationships with alumni and track graduates for marketing purposes.
Administrative & Operational Support
Daily Operations:
Assist the Director in overseeing daily school operations to ensure compliance with licensing and Montessori standards.
Data Management:
Maintain student profiles and progress data in collaboration with faculty.
Record Management:
Manage and update student records in Procare software.
Communication:
Communicate with teachers regarding tours, open houses, and child visits.
Documentation:
Maintain and organize parent contracts, enrollment paperwork, and financial reports.
Financial Support:
Support the Director in payroll, tuition processing, and financial management.
Staff Support & Development
Resource Provision:
Support faculty by providing resources, conducting teacher meetings, and assisting in staff training.
Substitute Coordination:
Coordinate substitute teachers when needed.
Scheduling Assistance:
Assist with scheduling and staffing needs to ensure smooth daily operations.
Professional Development:
Monitor and implement professional development for staff.
Safety & Compliance
Regulatory Compliance:
Maintain compliance with state regulations and school policies.
Medical Oversight:
Oversee student medical forms, administer medications when necessary, and track medical logs.
Drill Implementation:
Plan, implement, and document monthly fire drills.
Health Inspections:
Assist with Department of Health inspections and ensure staff certifications are current (CPR, First Aid, etc.).
Additional Duties
Office Support:
Assist with general office tasks including answering phones, maintaining records, and supporting the administrative team.
Supply Management:
Order and distribute office and school supplies.
Proofreading:
Proofread school newsletters, reports, and communication materials.
Standards Compliance:
Follow all standards in accordance with licensing regulations.
Other Duties:
Perform other duties as assigned by the School Director.
Qualifications
DCFS Requirements:
Must meet or exceed DCFS Assistant Director requirements.
Experience:
Experience in early childhood education administration preferred.
Skills:
Strong leadership, organizational, and communication skills.
Passion:
A passion for working with children and building a positive school environment.
Montessori Experience:
Montessori experience is a plus, but training will be provided for the right candidate.
