Our client a well known University is seeking an Executive Assistant in their New York, New York Location!
Position Overview
We are seeking a highly skilled and resourceful Executive Assistant to provide strategic, administrative, and operational support to our executive leadership team. This individual will serve as a trusted partner—managing complex schedules, coordinating high-level communications, leading executive projects, and ensuring seamless operations across multiple business functions. The ideal candidate will thrive in a fast-paced, dynamic environment and demonstrate exceptional judgment, discretion, and professionalism.
Key Responsibilities
- Executive Support:
- Provide comprehensive administrative support to the executive(s), including complex calendar management, travel coordination (domestic and international), expense reporting, and correspondence.
- Strategic Coordination:
- Partner closely with leadership to drive key priorities, track deliverables, and ensure alignment across departments and stakeholders.
- Meeting & Communication Management:
- Plan and coordinate executive meetings, board sessions, and leadership offsites. Prepare materials, agendas, presentations, and briefing documents as needed.
- Confidentiality & Professionalism:
- Handle sensitive information with absolute discretion and sound judgment, serving as a gatekeeper and liaison between executives and internal/external partners.
Operational Efficiency:
- Streamline administrative processes, identify opportunities for improvement, and proactively solve problems before they arise.
- Relationship Management:
- Build strong relationships across all levels of the organization and externally with clients, partners, and vendors on behalf of the executive team.
- Project Management:
- Lead or assist in special projects, event planning, and cross-functional initiatives that advance the company’s strategic goals.
Qualifications
- Bachelor’s degree required; advanced degree or executive office certification preferred.
- 7–10+ years of experience supporting C-level executives in a fast-paced, corporate or entrepreneurial environment.
- Exceptional written and verbal communication skills.
- High level of professionalism, discretion, and emotional intelligence.
- Expert proficiency in Microsoft Office Suite and collaboration tools (e.g., Teams, Slack, Zoom, Concur).
- Strong organizational, analytical, and time management abilities with meticulous attention to detail.
- Proven ability to anticipate needs, take initiative, and operate independently with minimal supervision.
- Comfortable managing competing priorities and adapting quickly to change.
