Office Services Coordinator at Davis Wright Tremaine LLP in Seattle. In-office five days per week. On a Typical Day You Will
Sort and distribute incoming and interoffice mail; process and route mail electronically to specific Firm contacts per guidelines Assist in processing outbound mail and vendor/courier packages; track shipments; may extract addresses and contact information from spreadsheets Meter mail and packages for delivery to the post office; process USPS materials at off-site locations Monitor team mailbox and chat-based workspace; respond to emails and office correspondence in a timely manner Assist with collection of payments for personal shipments; document client billing numbers for accounting Update the mail and package routing system and reference lists; process the daily outbound list to align with attorney and staff pairings Participate in team and special projects; support routine and special mailings, scanning, and delivering client materials; serve as main contact for vendor support per Operations Manager’s directive Assist with the general appearance of the support services department; order and stock supplies; organize workflow and clean the area Prepare offices and workstations for new hires or interoffice moves; assist with moving content and personal items Serve as an in-house messenger using company vehicle, public transit, or walking Use Microsoft 365 and other software to complete tasks and maintain electronic office materials Attend routine check-in meetings with the Operations Manager; discuss services, progress, goals, and needs Maintain punctual schedule and regular attendance Other administrative responsibilities as requested Join Us If You Have
2+ years of related office support, customer service, or mailroom experience Proficiency with standard office applications (Microsoft Office, scanners, copiers, phones) Excellent interpersonal skills; dependable team player; well organized; detail-oriented; good judgment Ability to work effectively in a team-oriented, service environment Ability to manage multiple tasks and priorities under deadline pressures with minimal supervision; take ownership when issues arise Ability to identify and respond to client issues promptly and seek feedback Clear, professional communication with lawyers, clients, staff, and vendors Professional appearance appropriate for a legal environment Able to lift 40 lbs., stand for extended periods, and operate department equipment GED/High School Diploma required; higher education preferred Proficient reading and writing in English Valid driver’s license with proof of insurance to operate company vehicle Willingness to work extended hours or shift changes as needed Flexibility to temporarily adjust shifts for coverage needs What We Offer
