Cooley is excited to welcome a new Information Governance Compliance Specialist to our dynamic Information Governance & Privacy team. Position Summary:

At Cooley, the Information Governance & Privacy team is dedicated to providing exceptional customer service as our core mission. This role is vital in supporting our client file transfer operations, managing the intake of electronic files for lateral attorneys, ensuring compliance with records retention standards, and enhancing overall records management practices. Position Responsibilities: Communicate effectively with attorneys and business professionals regarding lawyer mobility records, including the transfer of active and inactive electronic client records. Oversee the intake of electronic documents and emails for lateral attorneys, ensuring smooth uploading into iManage. Manage the transfer of electronic documents and emails, including retrieving materials from Worksite. Coordinate the transfer of physical records to ensure compliance and efficiency. Contribute to the development and refinement of records retention procedures. Engage with attorneys and team members to address records retention issues and ensure clarity on policies. Execute records retention activities according to firm policies and procedures. Facilitate the secure destruction of print records in compliance with standards. Oversee the approval process for optional electronic root folders. Review requests for new print folders to reaffirm compliance with records standards. Manage data entry, conduct data analysis, and implement legal holds as needed, while ensuring document security in accordance with PII provisions. Address and resolve inquiries related to the Information Governance Department's policies and procedures. Assist in creating training materials, procedure manuals, and guidelines to support team members. Liaise among attorneys, paralegals, secretaries, administration, and other records professionals to ensure comprehensive record services are provided equitably and promptly. Encourage collaborative team behaviors that align with our organizational goals. Perform other duties as assigned to support the team’s functions. Skills & Experience: Required: Proficiency in Microsoft Office Suite, iManage, and other relevant applications after orientation. Flexibility to work overtime when necessary. Minimum of 2 years of direct applicable experience, including records management and/or technology. Prior experience with complex electronic records management systems is essential. Able to participate in a 7x24 on-call rotation. Preferred: Bachelor’s degree is advantageous. Experience working within a large multi-office law firm. Prior experience in coordinating work with various teams. Experience in implementing new technologies is a plus. Familiarity with SQL programming is beneficial. The expected hourly pay range for this position, based on a 40-hour work week, is $30.00 - $43.50 ($62,400.00 - $90,480.00 annually), with the final offer dependent on geographic location, experience, and skill set.
