Job Description A courteous and efficient veterinary practice manager will coordinate and manage all office administration procedures. Responsibilities include ordering, inventory management, coordinating schedules, resolving conflicts among office staff, training staff, and all other aspects that keep the practice operating efficiently. The manager should also be able to answer pet owners’ questions regarding clinic policies, appointment availabilities, and treatment costs.
To be successful, you should be patient, detail‑oriented, and adept at multitasking. You must communicate effectively with pet owners and veterinary staff and demonstrate exceptional management, organizational, and customer service skills.
Job Duties
Make informal recommendations to the veterinary regional manager concerning staffing needs, advancements, re‑assignments, hours of work or other status changes affecting receptionists.
Direct on‑the‑job training to develop employee skills, advise employees of performance requirements and progress, discuss corrective measures, and prepare appraisals.
Recruit, hire, onboard appropriate staff and terminate staff who do not follow guidelines, policies, and protocols.
Market the hospital to prospective customers and the veterinary community by identifying and attending relevant local and regional events.
Resolve informal employee complaints and provide explanations of hospital personnel policies and procedures.
Work well with all team members to support the hospital, doctors, and practice philosophy.
Obtain information from owners to complete records, give instructions for scheduling appointments, and relay practitioners’ orders concerning animal care.
Ensure that pet owners’ complaints are promptly addressed and resolved.
Prepare employee work schedules and manage the office staff.
Answer telephone calls in a polite and professional manner.
Establish an inventory control system to assure adequate stocks of supplies; review best prices for all products purchased and maintain inventory control, including controlled drugs.
Manage and/or implement hospital policies, including DEA/Controlled Substances and OSHA.
Ensure payroll is completed and submitted accurately and in a timely manner.
Establish good relationships with vendors to receive the best support available to the hospital.
Promptly notify appropriate veterinary staff of emergency cases.
Interview suitable office staff candidates and provide training as needed.
Perform other duties as assigned.
Qualifications
Experienced or certified veterinary practice manager with a minimum of 1‑year management experience preferred or 3+ years veterinary experience preferred.
Knowledgeable of the general day‑to‑day functions of a busy general practice veterinary hospital.
Strong leadership, communication, and motivation skills.
Ability to show unbiased judgment when managing people and make fair recommendations regarding personnel issues.
Knowledge of the English language structure and composition rules.
Knowledge of hospital procedures for assembling patient records in their required order and sequence.
Strong client service skills.
Knowledge of commonly used veterinary terminology for accurate entry into patient records.
Highly organized and possess computer skills.
Self‑starter with the desire to continue to advance knowledge and skillset.
Open availability with flexibility to change hours based on hospital needs.
Pay Range Beginning at $55,000/yr+ depending on level of experience.
