Overview
The University of Maryland School of Medicine (UMSOM) has an exciting opportunity for a Faculty Administrative Specialist to join the Department of Psychiatry’s Executive Office. The Department of Psychiatry supports clinical services, education, and research across the University of Maryland Medical Center and affiliated systems. The role supports academic administration, data management, reporting, and coordination of faculty-related activities. Primary Duties
Provide administrative support for academic administration, including special projects and reporting requests. Ensure accuracy of data maintained for faculty, post‑docs, research fellows, or other with academic appointments, including: Review and prioritize appointment packets for completeness prior to submission to the Dean or designee for approval.
Ensure faculty actions are in accordance with policy guidelines. Collect and store faculty action records in a secure, accessible system. Enter data into electronic file systems and/or faculty information systems (FIS) and validate data integrity. Provide written verification of academic appointments. Prepare standard or ad hoc reports and analyze data to identify trends and variances. Verify requirements for DEA/CDS licensure and manage license applications, renewals, and fee waiver processes. Review and process volunteer faculty renewals and process payment requests as needed. Assist with collection and reporting of academic appointment data for accreditation, regulatory, and reporting requirements. Assist in reviewing and implementing new or revised policies and in distributing communications about faculty policy changes. Assist in coordinating school committees. Performs other duties as assigned. Education
Bachelor's degree. Experience
Two (2) years of administrative support. Experience in higher education, healthcare, or faculty administration preferred. Other
Except for qualifications established by law, related experience and formal education may be substituted for the education or experience requirement on a year-for-year basis, with 30 undergraduate credits equivalent to one year of related experience. In cases where specific education or experience is required, only directly related education or experience may be substituted. Knowledge, Skills, and Abilities
Ability
to prioritize ongoing and new projects necessary to implement specific academic appointment programs.
Ability
to interact effectively with senior management, faculty, and departmental support staff. Knowledge of position requirements, applicable regulations and laws. Proficiency with relevant technology and systems.
Ability
