Administrative Assistant 2
within the
Office of Medical and Clinical Services
at the Georgia Department of Public Health, you will join a dedicated group of public health professionals that help support the overall mission and vision of protecting lives of Georgian residents in a variety of ways.
Job Responsibilities
Serve as back-up receptionist for the Immunization Program; provide administrative and technical assistance to internal and external customers; answer, triage and direct all incoming calls for the program Provide administrative support by maintaining immunization inventories and distributing materials to providers as requested; retrieve, open, and distribute incoming mail to program staff, managers and other DPH programs as needed Process immunization record requests received via email and fax; utilize GRITS to research and process immunization request for children, adolescents, and adults Assist with orienting and training new staff on proper procedures of day-to-day operations of the Immunization Program Handles and protects confidential client and program information when performing administrative duties following HIPAA Privacy Rules. Assist with updating and maintaining the Georgia Immunization Program Manual and QA/QI training material for district immunization staff. Assist with copying, organizing, and gathering materials for staff meetings, maintaining email listserv, and updating district directory Serve as backup for data entry for school and childcare assessment activities. Serv as backup for recording meeting minutes and reporting minutes to Nurse Consultant
Minimum Qualifications
High school diploma/GED and three (3) years of job-related experience; or one (1) year of experience required at the lower level Admin Assistant 1 (GST050) or position equivalent.
Preferred Qualifications
(Based on the needs of the position) One year of business school or college preferred One year of experience in performing general office work to include duties such as telephone usage, filing, typing, handling customer’s questions or complaints, data entry, computer usage Knowledge and skills related to the use of the Georgia Registry of Immunization Transactions and Services (GRITS) Knowledge of current Advisory Committee on Immunization Practices (ACIP) vaccine recommendations. Excellent customer skills, telephone and email etiquette, ability to multi-task and work independently often with minimal supervision and willingness to work as part of a team. Proficient with Microsoft Office software (i.e., word, PowerPoint, excel)
Additional Information
The DPH Commissioner and leaders encourage all employees to engage in regular wellness activities and to make lifestyle choices that promote health and well-being. The use of physical activity breaks during the workday is authorized to support this philosophy and assist employees in meeting their wellness goals. A maximum of 30 minutes of physical activity can be allocated per workday, typically in the form of two 15-minute breaks or one 30-minute break.

DPH accepts educational credentials recognized by the Council for Higher Education Accreditation (CHEA) and/or the US Department of Education (DOE) as valid. DPH will contact educational institutions to verify degrees, diplomas, licensures, and other relevant credentials. The candidate selected for this position may be subject to pre-employment drug screening and a criminal background check. Relocation assistance will not be provided.
