The Administrative Assistant provides essential on-site support at CALSTART’s Pasadena headquarters, ensuring that day-to-day operations run smoothly and efficiently. This role is ideal for someone who takes pride in keeping things organized, moving, and on schedule. You’ll be a central point of contact for staff, vendors, and visitors, helping make the headquarters a professional, welcoming, and well-run environment. This is an on-site, temporary role based in our Pasadena, CA headquarters. Responsibilities
Serve as the central administrative support for CALSTART’s Pasadena office, ensuring smooth daily operations. Handle mail and packages, manage office and kitchen supplies, and coordinate ergonomic and maintenance needs. Support meetings and events through scheduling, setup, logistics, and travel coordination. Manage building access, vendor visits, and assist accounting with invoices, requisitions, and postage funds. Help program teams with shipping, materials tracking, and event logistics. Greet visitors, answer mainline calls, and provide a professional on-site experience. Collaborate with the Manager of Facilities & Safety to complete administrative tasks accurately and on time. Qualifications
At least three years of experience performing administrative, facilities, or office coordination work in a professional environment. Intermediate to advanced proficiency in Microsoft Outlook, Excel, Word, and Teams. Advanced Excel skills preferred. Proven ability to manage multiple priorities with accuracy and attention to detail. Strong organizational and time-management skills, with a focus on follow-through and reliability. Clear, professional written and verbal communication skills. Sound judgment, discretion, and initiative when handling sensitive or time-critical matters. A collaborative mindset and eagerness to contribute to a supportive, team-oriented workplace. Compensation
$25 - $29.81 per hour CALSTART values transparency and strives to provide as much information regarding compensation as possible. The salary range for this role is $25 - $29.81 per hour. We determine pay based on several factors, including but not limited to job-related skills, qualifications, experience, education, internal equity and other factors relevant to the job.
