Title Executive Assistant I Location Hybrid — in San Diego, CA Role Overview Our client is seeking a highly organized and proactive Executive Assistant I to provide strategic administrative and operational support to senior leadership. This role ensures the effective use of executive time, fosters productive interactions with internal and external stakeholders, and supports key initiatives across the organization. The ideal candidate thrives in a fast-paced environment, exercises exceptional judgment, and demonstrates strong communication, organizational, and problem-solving skills. Key Responsibilities Manage complex calendars, schedule meetings, and coordinate travel arrangements to optimize executive productivity. Serve as a key point of contact and liaison between executives, staff, and external partners. Prepare correspondence, reports, and presentations with a high level of accuracy and professionalism. Handle sensitive and confidential information with discretion and integrity. Conduct research and data analysis to support executive decision-making. Manage company records, filing systems, and document workflows to ensure organization and accessibility. Coordinate logistics for meetings, events, and leadership offsites, including agenda development and follow-up tracking. Oversee office operations and administrative processes to enhance efficiency and collaboration. Represent executives in communications and meetings as needed, demonstrating sound judgment and knowledge of company priorities. Provide guidance or training to junior administrative staff when required. Required Skills & Qualifications Bachelor’s degree or equivalent professional experience. 3 years of experience supporting senior executives or leadership teams. Strong organizational and time management skills, with proven ability to manage multiple priorities. Excellent written and verbal communication skills. Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools such as Teams, Zoom, or Slack. Demonstrated discretion in handling confidential information. Ability to work independently, anticipate needs, and take initiative in a dynamic environment. Strong interpersonal skills with a professional, polished demeanor. Preferred Skills Experience in project coordination or office management. Familiarity with enterprise tools such as Concur, Workday, or Smartsheet. Background in supporting C-level or senior executives in large or fast-paced organizations. Strong attention to detail, adaptability, and proactive problem-solving mindset. #J-18808-Ljbffr
