Executive Assistant to Chief Executive Officer The ideal candidate for this position is responsible for administrative support to the Senior Administrators including but not limited to the President/Chief Executive Officer and the Executive Vice President/Chief Operating Officer. Must be able to manage multiple tasks/priorities, maintaining flexibility to meet time constraints and expectations.

Responsibilities

Answer Administration telephones, direct callers appropriately, provide accurate and concise messages.

Maintain the Administration front desk, greeting guests, announcing and directing flow throughout the Senior Executive Suite.

Maintain President/CEO and Executive Vice President/COO calendars; ensure accuracy, coordination and prioritization of appointments.

Maintain conference room calendars.

Review correspondence and distribute appropriately and in a timely manner; draft responses as directed.

Prepare administrative meetings, including invitations, handouts and refreshments.

Prepare drafts for administrative meeting minutes.

Type and email to various departments to maintain communication; prepare memos, communiques and correspondence as directed.

Maintain administrative records/files, both paper and electronic, in an orderly and organized manner for easy access.

Facilitate communication and work closely with leadership and the Executive Team.

Assist with compilation of annual budget, budget reports, FTE reports, etc.

Compile various reports for presentation to the senior management team.

Complete reports via Excel or Word.

Assist in managing multiple projects.

Code payroll entries for the administrative team (Vacation/Sick, etc.) in preparation for approval.

Monitor and maintain administrative supply par levels; ensure orders are placed timely.

Ensure all administrative data, reports, and communications are maintained with confidentiality.

Coordinate administrative office moves with key support departments (EVS, ENG, IT).

Monitor administrative areas/Senior Executive Suite for cleanliness and ensure all are maintained.

Qualifications

Exceptionally proficient in Microsoft Excel, PowerPoint, Word, Outlook, and VISIO.

Exceptional communication, customer service and interpersonal skills.

Attention to detail and high level of accuracy.

Strong analytical and problem‑solving skills.

Ability to manage multiple tasks in a pressured environment.

Versatile and able to adapt to changing environment.

At least five (5) years of commensurate experience.
