Job Description Description: Our Event Coordinators cultivate relationships with event planners to coordinate Conference Center services and meet or exceed expectations of guest groups. This role is responsible for planning, coordinating, and executing events from start to finish. This role requires collaboration with internal teams and external teams to ensure a seamless and successful experience for all guests. You will evaluate event needs, make informed decisions, and manage the logistics of various tasks to deliver exceptional service. Weekends and Evenings, may be required based on event schedules. Fast-paced work environment with the need to handle multiple events concurrently.

Responsibilities: • Collect and assess event-specific details, including lodging, meeting spaces, food services, and any unique requests. Evaluate event requirements and propose actionable plans to meet those needs. Ensure seamless execution of event details, ensuring all aspects are properly coordinated. Collaborate with both internal and external teams to complete tasks and projects effectively. Make informed decisions regarding guest group needs, expectations, and the center’s operational and service capabilities. Requirements:

Must have a valid driver’s license A minimum of 3 years experience in hospitality, business, or a related field Education, Work Experience, and Other Qualifications Proven experience as an event coordinator or in a related role. Associate degree in hospitality industry, business administration or related field is preferred. Strong organizational and time-management skills. Excellent communication and interpersonal skills. Ability to manage multiple tasks and projects simultaneously. Strong problem-solving and decision-making abilities. Familiarity with event planning software and tools or willingness to learn software. Ability to work effectively under pressure and meet deadlines. Knowledge of conference center operations and services. Ability to negotiate with group leaders Physical Demands and Work Environment Must be able to lift and carry event materials, equipment, and supplies, often up to 25-30 pounds. Assistance with the transport and setup of items, such as chairs, tables, and audiovisual equipment, may be required. Standing for several hours at a time is common, especially when overseeing event activities or managing guest services. Position requires working on a computer for an extended time involving visual review of documents and forms Ability to walk long distances across a large campus with steep inclines and uneven terrain, maintaining balance and endurance in all types of weather conditions. Capability to speak clearly and engage with individuals while walking for extended periods, ensuring information is conveyed effectively.
