Overview
Join the Washington Medical Commission (Commission) and help advance patient safety and professional integrity across Washington State. This position provides administrative support to the Investigative Unit Director and plays a key role in the unit’s daily operations. You’ll assist with correspondence, coordinate meetings, support personnel processes, and ensure quality assurance and process improvement efforts run smoothly.

Key Responsibilities
- Provide quality assurance, identify process improvements, and recommend updates to investigative procedures.
- Generate and analyze reports in ILRS/HELMS to support performance monitoring and case management.
- Assist with recruitment activities, including candidate materials, scheduling, and onboarding.
- Maintain and update process maps, business practices, and documentation for the Investigative Unit.
- Manage procurement, payment processing, and compliance with related policies.
- Coordinate meetings, teleconferences, and training sessions; prepare agendas and take meeting notes.
- Develop spreadsheets, track budget data, and prepare administrative reports.
- Support large-scale and independent special projects for the Commission as assigned.

Required Qualifications
- Three (3) or more years of experience in an office/clerical, secretarial, or general administrative environment using office organization methods/practices for performing complex clerical and administrative tasks.
- Experience in supporting virtual or in-person meetings and presentations using Zoom or Teams; organizing meetings, setting up, and facilitation.
- Customer service experience that includes resolving problems and responding to inquiries regarding policies, procedures, and services.
- Agile communication skills using plain language in both written and verbal forms.
- Project support experience including scheduling, orchestration of work to meet deadlines, and reporting progress to project managers.
Technical Skills
- Proficiency with Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) and SharePoint for project administration and monitoring.
- Ability to manage procurement and travel arrangements in accordance with organizational policies.
Preferred Knowledge, Skills, and Experience
- Two (2) years of experience providing administrative support to executive leadership in public health, health care, or a regulatory office.
- Experience interpreting and applying state and federal rules and regulations in a public health environment.
- Working knowledge of the Uniform Disciplinary Act and its investigative process.
- Experience with proprietary databases or customer service management systems.
- Experience handling highly sensitive, confidential, and high-security materials.
- Procurement and travel preparation experience.
