Summary The Talent Acquisition Coordinator provides essential administrative and logistical support to ensure the smooth and efficient operation of Goodwill Industries of Central Florida’s (GICF) recruiting function. This role supports the end-to-end hiring process including candidate communications, pre-employment coordination, hiring event logistics, and limited HRBP support to deliver a seamless positive experience for candidates, hiring managers, and internal HR stakeholders.

Key Responsibilities - Time Candidate & Hiring Manager Support - 30%

Serve as the primary point of contact for candidates and hiring managers throughout the recruitment process.

Schedule interviews, coordinate logistics, confirm availability, and ensure timely follow-up.

Respond to candidate inquiries and application status updates promptly and professionally.

Maintain consistent and high-quality candidate communication aligned with GICF’s service standards and values.

Pre-Employment & Onboarding Coordination - 25%

Coordinate background checks, drug screenings (including DOT), and I-9 verification and re-certifications.

Track candidate progress and communicate clearance status to recruiters and hiring managers.Partner with HR Operations, IT, and Facilities and other key stakeholders to ensure new hire equipment and system access are provisioned timely.

Ensure compliance with all onboarding documentation, confidentiality, and record retention requirements.

Sourcing & Recruitment Program Support - 20%

Post open positions within the ATS and on approved job boards.

Assist with sourcing efforts and candidate pipeline development.

Administer and track the employee referral program, coordinating payouts with Payroll.

Support candidate skills testing and training sessions as required.

Hiring Event & Community Outreach Coordination - 15%

Coordinate logistics for job fairs, hiring events, and community partnership initiatives.

Manage event scheduling, supplies, candidate registration, and post-event reporting.

Represent GICF at select events, promoting the organization’s mission and employment brand.

Track and report event metrics such as attendance, interviews, and hires.

HR Operations & Reporting Support - 10%

Provide documentation support for Verifications of Employment (VOE) and Unemployment Claims.

Assist HRBP team with employee file retrieval, data validation, and compliance audits.

Maintain recruitment metrics and dashboards for activity tracking and continuous improvement.

Identify opportunities to streamline communication and scheduling processes.

Scope Factors

Consults With: Recruiters, HR Business Partners, HR Operations, IT, Facilities, and organizational leaders across the organization.

Decision Authority: Executes established processes; recommends improvements to enhance efficiency and compliance.

Impact: Directly influences candidate experience, time-to-hire, and onboarding readiness through high-quality administrative coordination.

Qualifications Qualifications – Education & Experience

3+ years of administrative experience supporting Human Resources or Talent Acquisition functions.

High School Diploma required; Associate or Bachelor’s degree in Business or related field preferred.

Experience with applicant tracking systems (ATS) and pre-employment processing preferred.

Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint).

Familiarity with I-9 verification, background screening, and compliance documentation standards.

Physical Demands and Working Conditions

Work is typically performed in person, onsite in climate-controlled office environment.

Regular occasional travel to Central Florida sites;

Licensing and Certification

Valid Florida Driver’s License with satisfactory driving record.

Professional HR (PHR)/ Senior HR Professional (SPHR) and/or SHRM-CP: Certified Professional/ SHRM-SCP: Senior Certified Professional is preferred
