Patent Specialist/Practice Assistant (Legal Assistant/Secretary)
Seattle, WA Stoel Rives LLP has an immediate opening for a Patent Specialist/Practice Assistant in its Seattle office. The role assists Supervising Partners, attorneys, patent agents, and TIP paralegals (“practitioners”) within the TIP group. The position reports to the Practice Assistant Supervisor and receives daily assignments from the practitioners. Essential Functions / Responsibilities
Patent Administration: Receive assignments directly from practitioners, including billable tasks relating to USPTO reporting to clients, preparation and dispatch of client and foreign associate correspondence, maintenance and revision of internal patent and trademark docket forms and reports, and processing of USPTO fees, client invoices, and attorney/paralegal expenses. File Management: Handle new client file intakes and new counsel transfers; enter references and office actions in Foundation IP (FIP) to ensure proper Information Disclosure Statement (IDS) filing; maintain electronic and paper files; conduct photocopying, filing, searching, indexing, and review of documents for delivery, storage, and destruction. Docket Software Responsibilities: Learn and maintain complete knowledge of the patent and trademark docket software program (Foundation IP), train staff, and assist practitioners in using the docket system. Maintain updated procedures requested by practitioners regarding the implementation of firm docketing policies. Document Organization: Organize, index, and review documents for delivery, storage, and destruction. Other Duties: Perform project coordination for team meetings and team outings, and any other duties as assigned. Essential Capabilities

Proficiency with computer software applications (e.g., word processing, spreadsheets, databases) and patent & trademark filing programs (USPTO e‑filing, e‑PCT, PCT‑Safe). Familiarity with online services (USPTO, PatBase, Espacenet), records management systems, and docketing programs. Ability to use the firm’s timekeeping system for accurate and timely billing and disbursement recording. Physical and Mental Capabilities
Ability to stand, sit, and enter data for extended periods. Comfortable with bending, reaching, lifting, and carrying filing materials. Strong concentration, attention to detail, and basic mathematical skills. Capability to read and interpret information in printed, handwritten, or computer form, including legal correspondence, memoranda, forms, and reference materials. Education & Experience
High school degree required; college degree preferred. Paralegal certificate in an appropriate jurisdiction and 3‑5 years of relevant experience in patent or trademark practice. Normal Work Hours
Hybrid position, non‑exempt, eligible for overtime compensation. Regular office hours are 8:30 a.m. – 5:00 p.m., Monday through Friday. Compensation, Benefits, and More
Pay range: $59,000 – $98,000 (base compensation varies by skills and experience).
