Bay Cove Human Services’ mission is to partner with people to overcome challenges and realize personal potential. Bay Cove pursues this mission by providing individualized and compassionate services to people facing the challenges associated with developmental disabilities, mental illness, substance use disorders, and homelessness at more than 175 program sites throughout Greater Boston and Southern‑Eastern Massachusetts.
Job Summary The Payroll Coordinator supports the Payroll Supervisor in processing an accurate weekly payroll. This role is responsible for managing day‑to‑day payroll operations, such as managing the payroll email for corrections, reviewing timesheets, garnishment administration and supporting the weekly payroll preparations such as imports and validations. This is a non‑exempt position.
Essential Functions I.
Review time sheets for accuracy
Assist with the Salary True‑Up for salaried employees as part of timesheet review
Send emails on Friday for any unapproved TAFW requests
Review timesheets for correct authorizations
II.
Review any payroll‑impacting Change of Status forms
Review status change forms, for pay increase, ensuring accurate pay, including any retro adjustments
Review tax set up for any address changes, and confirm correct taxes are withheld
Review if employee changes employment status that impacts benefit eligibility to ensure employee is receiving/not receiving benefit deductions and entitlements based on the status change
III.
Terminations/New Hires
Assist with involuntary terminations to timely pay for hours worked as well as processing the vacation payout
Review weekly termination report for terminations entered late
For new hires, ensure the correct pay rate is being paid, correct taxes are being withheld and set up with proper entitlement buckets.
For rehires, make sure any previous deductions or recurring payments are shut off. Confirm entitlement awards are correct based on previous term date (i.e. sick)
IV.
Payroll Processing
Manage the weekly payroll email box for payroll changes such as missed hours, location updates, retro payments, requests for statements, report requests and miscellaneous requests
Manage garnishments, including scanning any required documentation, setting up/ending deductions, and sending copies to employees.
Verify that employees receive overtime pay for hours worked over 40 or otherwise specified
Calculate blended rate amounts when an employee works over 40 hours and at two different pay rates
Assist with quick entry preparation for miscellaneous payroll imports and manual entries
Review the Voya report for retirement deduction changes
Compare training imports to timesheets for duplicate entries
Manage recurring items such as cell phone stipend
Back up for payroll commit, adhering to payroll checklist
Run and distribute required post‑payroll reports
V.
Assist in annual payroll procedures
Assist in the preparation and collection of year‑end audit requests.
Assist with the processing and distribution of W‑2 forms
Document all payroll functions in detail
Requirements
At least 2 years of experience in a payroll position utilizing a computer system to process payroll; Ceridian Dayforce experience preferable
Proficient in Google products
Acceptable CORI (criminal record assessment)
Demonstrated ability to work effectively and collaboratively with a culturally diverse population
Ability to work collaboratively as a member of multi‑departmental and cross‑functional teams
Ability to identify opportunities and challenges and develop effective, creative solutions to pursue opportunities
Professional documentation, communication skills, and demonstrated organizational skills
Ability to be flexible, open and responsive to ongoing changes
Ability to maintain confidentiality
