Afterschool Administrative Assistant

The Afterschool Administrative Assistant reports directly to the Berkeley Afterschool Administrative Coordinator and Assistant Director and works 30‑37.5 hours per week at the Berkeley location. This position is responsible for maintaining a positive environment rooted in Jewish values for all staff and families in the Berkeley Afterschool program. The Assistant also supports Summer Camp with enrollment procedures and camp operations.
Responsibilities
Manage sign‑in and sign‑out desk for all drop‑offs and pick‑ups through the Remini school management system, call for students and communicate with parents regarding absences
Order supplies for all teachers and department needs, maintain inventory of art, sports, first aid, and general supplies
Order and maintain inventory of Kosher snacks
Collaborate with preschool to manage ordering of snacks and food supplies
Support preparation for staff training before school starts and throughout the year
Perform independently at a high level in a fast‑paced team environment, manage multiple projects to meet timelines and deadlines
Demonstrate proactive leadership and consensus building skills
Be goal‑oriented and pay close attention to detail
Participate in agency‑led experiences, including holiday celebrations and community engagement opportunities
Other duties as determined
Required Minimum Qualifications
Minimum of 2 years working in a child‑care setting or educational institution for children in preschool‑5th grade
Knowledge of or commitment to learning about the Jewish community, values, and traditions and commitment to the mission of the JCC East Bay
1‑2 years of administrative or program operations experience
Strong database management skills and proficiency in Google Docs, Google Sheets, and Office Suite programs
Ability to push/pull and lift/carry objects weighing 30 pounds
Exceptional written and verbal communication skills
Excellent organizational skills; able to see small details in a large program
Excellent interpersonal skills; able to motivate small but mighty teams
Proven experience in customer service and community relations
Must be available to work in the afternoons and early evenings
Ability to lead and direct children in large group settings
Ability to walk and stand for extended periods and bend from knees and waist
Ability to respond without delay to the needs of young children
Experience working in a Jewish nonprofit preferred
Bachelor’s degree in education or relevant field preferred
Salary and Benefits Salary range: $25–$27 per hour. Position starts as temporary with an opportunity to transition into a permanent role. Benefits include medical, dental, vision, vacation, sick pay, and holidays (including Jewish). This position is not represented by a union.
