Terra-Gen, LLC Summary The Office Administrator is a key administrative role supporting all operations and maintenance activities in Terra-Gen’s Photovoltaic and Battery Storage Department. The position requires multitasking, focus, and the ability to ensure fulfillment of duties outlined in the executed O&M service agreement between Terra‑Gen Operating Company and various Terra‑Gen owned entities. Responsibilities Provide comprehensive administrative support to departments or groups. Prepare correspondence, presentations, reports, routine communications, and memoranda. Maintain confidential records and information. Perform receptionist, accounting, human resources, and payroll assistant functions. Manage purchasing, shipping, and receiving processes. Coordinate with all departments to support daily facility operations. Assist with budgets, procedural updates, warranty claims, safety documentation, inventory tracking/purchasing, expense reports, visitor coordination, and stakeholder reporting. Serve as liaison to community and Air Force representatives, assist with permitting, and coordinate/tracking training and compliance events. Maintain and track maintenance schedules and office supply inventories. Organize and manage files to promote efficient facility operation. Requirements High school diploma or equivalent required; two to four years of related experience preferred. Proficiency with word processing, databases, spreadsheets, Microsoft Suite. Familiarity with office equipment (computers, fax machines, copiers, printers). Valid driver’s license required. Basic knowledge of safety rules, operating and maintenance instructions, and procedure manuals. Ability to read, interpret, and write routine reports and correspondence. Competent in basic mathematics (addition, subtraction, multiplication, division), rates, ratios, percentages, and bar graphs. Ability to perform reasoned problem solving and independent decision making. Physical demands: regular sitting, occasional standing, walking, reaching, and lifting up to 10 pounds. Work Environment Includes typical office settings and active construction sites, which may be noisy and dusty. Appropriate attire includes long pants and closed‑toe shoes. Timesheets must be submitted via Paylocity by end of business Friday each week; time‑off requests require advance notice.
