Description

We are looking for a spiritual and energetic candidate to provide administrative support including communications, data processing assistance, reception and scheduling for not only our beautiful parish home Our Lady Queen of Heaven Church but also for our extended parish family including Holy Disciples Parish as well as Our Lady of Good Counsel and Saints Cosmas & Damian Missions.

MAJOR DUTIES AND RESPONSIBILITIES

Collaborates with the PAA and pastor in implementing the mission of the parish in the area of administrative support. Incumbent serves as a professional resource to the staff in the area of administrative assistance.

Assures preparation of the weekly parish bulletin.

Assists in communication efforts with parishioners and the local community, including processing regular mail and bulk mailings. Supports parish presence on social media platforms.

Provides a welcoming, hospitable and caring attitude toward all persons. Provides general information to all who call the parish and refers them to the proper staff person or social service agency.

Maintains the Parish Database System making changes, additions and deletions as needed.

Maintains filing systems for the office.

Assists those requesting services from the parish, e.g.: Mass cards, hall rental, vendors.

Assures the maintenance of sacramental records for Baptism, First Communion, Confirmation and weddings. Also records all deaths.

Ensures that all information materials e.g., posters, flyers, bulletins, etc. are placed in the church on Fridays and that all unnecessary materials are removed from the church as appropriate.

Secondary Duties

Assists the PAA to ensure timely calendaring of all events. This is accomplished by maintaining a master calendar of events and scheduling use of the facilities to include use of keys.

Acts as alternate to the PAA as liaison with those using or renting parish facilities. Coordinating with the person responsible relative to special needs.

Assures the parish office is properly opened in the morning and securely closed in the evening as needed.

Other duties as assigned and appropriate, as time allows.

Maintains a level of knowledge and skills required to function as an Administrative Assistant. This may be accomplished through reading appropriate materials, participating in training opportunities and attending workshops required by pastor or approved by him.

Qualifications

Demonstrates regular and dependable attendance.

Willing to support the teachings of the Catholic Church in Western Washington.

Organizational Excellence: Strong organizational skills to manage multiple responsibilities and maintain detailed and accurate records.

Attention to Detail: A meticulous approach to ensure accuracy data entry tasks.

Any offered salary is determined based on internal equity, internal salary ranges, market data, applicant’s skills and prior relevant experience, certain degrees and certifications.
