Position Overview The

Case Manager / Office Manager

will be responsible for overseeing day-to-day office operations, managing patient scheduling and flow, coordinating care among providers, and supporting the overall efficiency and success of the clinic. This individual will serve as a key point of contact for staff, patients, and external partners, ensuring the clinic runs smoothly and delivers exceptional service.

About Advanced Therapy Clinic

Advanced Therapy Clinic provides ABA, ST, OT, PT, and Nutrition Therapy to children with a variety of disabilities or delays. We help clients and families in our centers, in homes, and in the community. Our goal is to bring ABA and our other therapies to as many clients as possible. Our clinics are in multiple locations, and we are expanding rapidly but with careful attention to planning and resources. Client care is at the center of everything we do.

Key Responsibilities Oversee and manage daily front and back office operations Coordinate and optimize patient scheduling to maintain clinic efficiency Supervise and support administrative and clinical support staff Maintain accurate patient records and ensure compliance with HIPAA and clinic policies Collaborate with providers to coordinate patient care plans Handle billing support, referrals, and authorizations as needed Track office inventory and manage ordering of supplies Assist in hiring, onboarding, and training new staff Implement and maintain office policies and procedures Provide leadership to foster a positive, professional, and team-oriented work environment

Qualifications Proven experience in office management, medical administration, or case management (minimum 3 years preferred) Strong scheduling and coordination skills in a clinical or healthcare setting Excellent organizational, multitasking, and communication abilities Proficiency with electronic health records (EHR) systems and office software Leadership experience with the ability to motivate and manage a team effectively High attention to detail and strong problem-solving skills Commitment to providing compassionate and respectful patient care
