The Prosecuting Attorney is seeking a highly organized and detail-oriented person to fill the Legal Secretary II position. The selected candidate will work in a professional office and court settings performing varied secretarial and support functions for the attorneys and officestaff. Responsibilities include, but are not limited to, preparing and processing legal documents, subpoenas, and opening and maintaining case files. This position is one of six legal secretaries and works with four attorneys. At times, may serve as backup to the other legal secretaries. All that said, the ideal candidate will possess excellent organizational, customer service, interpersonal, and communication skills. On the job training will be provided.
Newaygo County offers a generous fringe benefit package which includes health insurance with no payroll deduction and retirement. Additionally, longevity pay increases are available beyond the top hourly rate as listed above.

Education: High school graduation or equivalent isrequired. Prefer Associates Degree or advanced coursework in word processing, legal secretarial areas, and/or criminal justice.
Experience: Two years of prior office experience, preferably in a legal setting providing a knowledge of legal terminology and court procedures. Requires computerknowledge or experience.

Examples of Duties
- Works directly with the elected Prosecutor to prepare investigative subpoena document packets for submission to the court for cases that are under investigation. Types legal update packets containing information on recent changes to Michigan laws and prepares for distribution to local law enforcement.
- Prepares various legal forms and documents for both District and Circuit Court as requested. Proofreads documents for spelling, punctuation, grammar, and format.
- Creates criminal, civil, and ticket files and verifies all information is correctly entered/attached to each file. Files documents with courts, defense attorneys, and defendants. Continually updates hard files, case logs, and electronic files. Closes files and electronically enters data regarding disposition of cases as well as updating the hard files.
- Processes Discovery and Appearance requests received from defense attorneys for adult criminal cases, updates hard files and electronic files.
- Serves as back up to the legal secretary providing clerical support for the Prosecuting Attorney's Office. Directs members of the public to the proper departments, and determines entry to the Prosecutor's Office for attorneys, officers, court personnel, and members of the public. Receives, screens and routes telephone calls, exercising judgment and discretion in the release of information. Opens, date stamps, and distributes incoming mail to the appropriate staff. Informs subpoenaed victims and witnesses of their requirement to be present at scheduled court proceedings.
- Generates juvenile petitions following the Prosecutor's review of police reports and is responsible for the timely filing of such petition with the court.
- Opens juvenile files and processes all documentation, including but not limited to, entering notice of hearings. Receives, processes and files fingerprint records with the State Police Central Records Division. Files documents with the court and continually updates files and logs until cases are closed. Maintains records on the service of witnesses and ensures that laboratory reports, police reports and other necessary related documents are forwarded to defendants, attorneys and officers.
- Serves as backup for District Court matters in the absence of the Office Administrator/Legal Secretary III.
- Responds to inquiries from attorneys, parties, victims, witnesses, and others regarding departmental procedures, schedules, case information and other information requested and responds using discretion and legal ethics and office policies as to the release of information.
- Coordinates with other departments, including but not limited to all Courts, Central Dispatch, state and local police agencies, County Jail, Department of Corrections, Attorney General, Secretary of State, US Attorney's Office and Public Defender's Office. May also provide and obtain information regarding case load. Will also access jail inmate information and is responsible for maintaining strict privacy and security of all individuals.
- Prepare files, logs information for reporting purposes, and orders certified driving records and certified Sex Offender Registration documents from the State of Michigan and other states as required. Requests certified copies of convictions from other counties and court systems as appropriate. Ensures that necessary related documents such as laboratory reports, police reports, audio/video, witness statements, maps and photographs are obtained for criminal files and ensures same are provided to defendant, defense attorneys and officers in a timely manner.
- In conjunction with other secretarial staff, organizes and accounts for all closed, year-end files. Prepares files for easy accessibility in storage area.
- Performs other duties and functions as required such as, but not limited to, typing legal forms and documents, copying, faxing, scanning, and filing.
- Any other such duties deemed necessary at the direction of the prosecuting attorney.
