Overview
We are seeking an Executive Assistant to join our team at Rise Recovery. This role is vital in providing high-level administrative support to our executive leadership team while ensuring the smooth operation of our office. The Executive Assistant will play a key role in enhancing organizational efficiency and supporting our mission to empower youth and families.
Responsibilities
- Provide executive-level administrative support to senior management.
- Manage schedules, coordinate meetings, and organize travel arrangements.
- Prepare reports, presentations, and correspondence as needed.
- Oversee office operations to ensure a productive work environment.
- Assist in project coordination and implementation of organizational initiatives.
- Maintain filing systems and ensure accurate record-keeping.
- Act as a point of contact for internal and external communications.
- Manage complex calendars, ensuring timely scheduling of internal and external meetings.
- Coordinate all travel arrangements, including transportation, lodging, and itineraries.
- Prepare agendas, take minutes, and track follow-up items from leadership meetings.
- Proactively identify and resolve scheduling conflicts or gaps in time management.
- Monitor and organize executive tasks, deadlines, and deliverables.
- Process expense reports, reimbursements, and administrative purchases.
- Maintain digital and physical filing systems aligned with organizational protocols.
- Assist in project coordination, event planning, and internal process improvement efforts.
Required
- Minimum 3–5 years of experience as an Executive Assistant or in a high-level administrative role
- Strong knowledge of Microsoft Office Suite and digital collaboration platforms (Teams, Zoom, etc.)
- Excellent written and verbal communication skills
- Strong attention to detail, confidentiality, and discretion
- Ability to work independently, manage up, and prioritize tasks with minimal supervision.
Preferred
- Bachelor’s degree in Business, Communications, or a related field
- Experience in nonprofit or healthcare settings
- Familiarity with board support, grants administration, or compliance processes
Physical Requirements
- Must be able to meet the physical requirements to including lifting up to 12 lbs. and supporting up to 55 lbs.; bending, stooping, and getting on and off the floor without assistance.
- Ability to participate in outdoor activities with participants.
- Ability to travel to meetings and other sites.
- Able to operate standard office technology, equipment and utilize office supplies.
Working Conditions
- Standard administrative office environment.
- Regularly scheduled hours may vary during periods of workload fluctuation.
- Occasional night, weekend and holiday hours will be necessary to support additional recovery programming and/or Rise Recovery events.
