The Receptionist provides exceptional service by greeting and assisting all visitors and answering inbound calls. The role maintains a professional image of the company by providing prompt, courteous, and efficient service. Cross‑training may involve assisting in mail/shipping operations, hospitality, and general office/facilities work based on operational needs. Main Functions

Answer all calls, correspondences, and provide an exceptional customer service experience for all incoming/outgoing visitors. Perform light facilities/hospitality work such as assisting customers with troubleshooting tickets, ordering supplies, stocking kitchens/service areas, and setting up or taking down conference rooms for meetings/events. Assist with mail services including sorting/distributing mail and receiving/tracking packages. Duties and Responsibilities

Provide 5‑star customer service to all employees and visitors in all forms of communication. Answer and route incoming telephone calls to the appropriate person. Ensure all visitors complete and understand the corporation’s Non‑Disclosure Agreement (NDA). Log visitors into the registration system and activate temporary badges. Issue facility access cards to employees and manage lost or damaged badge issues. Handle and route global calls, including confidential ones, expeditiously and professionally. Prioritize calls and elevate customer service issues to the proper chain of command. Maintain current company phone and speed‑dial lists. Train a backup and provide guidance on policies and procedures. Notify employees of inbound deliveries or direct deliveries to the Mail Room. Provide light administrative support such as scheduling meeting rooms, ordering catering, and assisting other teams with various tasks. Follow up on loaned access cards and coordinate with Security when cards are not returned by the end of the day. Build professional relationships with customers and other teams. Maintain the reception area in a neat and orderly manner, including visitor reading materials. Service and replenish pantry, barista, conference, kitchen, or meeting areas. Perform meeting room and conference room set‑ups. Monitor office supply levels and replenish or order as needed. Assist with copy/print orders and monitor equipment functionality. Maintain professionalism and composure when interacting with all callers and visitors. Strategically determine additional support needed for sensitive inquiries, providing back‑of‑office coverage as required. Proactively seek additional work during downtime. Competencies

High School Diploma or equivalent required. 1–3 years of prior work experience; strong preference for administrative, reception, or concierge experience. Ability to work assigned hours as determined by management. Excellent organizational and time‑management skills. Analytical and problem‑solving abilities. Superb written and verbal English communication skills. Task‑driven personality with a focus on customer satisfaction. Ability to multi‑task, prioritize tasks and customer needs. Current knowledge or willingness to learn computer‑based systems such as multi‑phone line systems, PC/Mac, MS Office, multifunction devices, fax/mail machines, and related equipment. Maintain a professional appearance and attitude. Adhere to all policies and procedures. Physical Demands

Fine and/or gross motor skills; ability to grasp, lift, or carry packages on a wheeled cart up to 60 lbs. Ability to walk, bend, kneel, stand, and sit for extended periods. Manual dexterity for operating office machinery. Ability to lift or move 40 lbs or greater frequently. Other Duties
