The Facilities Coordinator will act as a central point of contact for internal teams and external vendors, coordinating maintenance requests, assisting in vendor oversight, and ensuring proper documentation and communication of facilities-related matters. This role will ensure that daily facilities tasks are executed seamlessly, supporting the boutique’s luxury environment, client experience, and operational efficiency.
Job Responsibilities
Serve as the primary point of contact for all maintenance requests, efficiently tracking, prioritizing, and resolving issues reported by boutique staff to maintain a seamless and luxurious environment.
Proactively coordinate with external vendors and contractors to schedule and oversee preventive and corrective maintenance, ensuring all services align with the boutique's high standards.
Collaborate with the Facilities Manager in the oversight of critical systems, including HVAC, plumbing, lighting, electrical, and spa services, to guarantee optimal performance and client satisfaction.
Conduct regular and thorough walkthroughs of the sales floor, back‑of‑house, and spa areas to promptly identify and address any maintenance needs, preserving the boutique’s pristine condition.
Ensure that all facilities issues are resolved swiftly and efficiently, minimizing any disruption to boutique operations and upholding an exceptional client experience.
Provide critical support for event setup and ensure operational readiness during peak retail periods, contributing to the boutique's success and seamless execution of special events.
Vendor Management & Administration
Act as the daily liaison with a diverse array of service providers, including cleaning, landscaping, and spa services, fostering strong relationships and ensuring consistent service excellence.
Enforce strict adherence to Dior’s policies, safety standards, and service level agreements among all vendors, safeguarding the boutique’s reputation and operational integrity.
Meticulously track service schedules and provide essential support in processing vendor invoices, contributing to efficient budget management and financial accuracy.
Establish and maintain comprehensive and accurate records of work orders, inspections, warranties, and service reports, ensuring transparency and accountability.
Contribute to the proactive management of the preventive maintenance calendar, diligently ensuring timely follow‑up and minimizing potential disruptions.
Maintain optimal inventory levels of essential supplies, such as light bulbs, filters, and spare parts, and proactively manage replenishment orders to prevent shortages.
Safety & Compliance
Support the Facilities Manager in upholding strict compliance with all relevant building codes, safety regulations, and environmental standards, fostering a safe and responsible environment for staff and clients.
Assist in tracking Certificates of Insurance (COI) and essential regulatory documentation for all contractors, ensuring Dior's protection and adherence to legal requirements.
Desired Qualifications
2–3 years of experience in facilities coordination, property management, or hospitality operations (luxury retail experience highly desirable).
High School Diploma required. Associate’s degree in Facilities, Hospitality, or Business Administration preferred.
Strong organizational and multitasking abilities with excellent attention to detail.
Proficiency in Microsoft Office Suite and familiarity with CMMS (Computerized Maintenance Management Systems).
Strong communication and interpersonal skills to work with boutique staff, leadership, and external vendors.
Ability to adapt quickly and prioritize in a fast‑paced, client‑facing retail environment.
Excellent coordination and follow‑up skills.
Strong administrative and record‑keeping ability.
Customer service‑oriented mindset with sensitivity to luxury retail standards.
Basic knowledge of building systems (HVAC, plumbing, lighting, electrical) is a plus.
Additional Information The selected candidate will be offered a salary within the range of $70,000–$75,000 annually, plus bonus eligibility.
