Job Summary The Property Manager is charged with the day‑to‑day implementation of policies, procedures, and programs to assure well‑managed, well‑maintained assets, placing maximum emphasis on a positive response to tenants’ concerns, environmental health and safety, and quality preventive maintenance programs.
Essential Job Functions
Operational Management: Day‑to‑day operational management of all property aspects; coordinate with the Maintenance Team to ensure compliance with fire, life safety, and other safety policies, and keep emergency procedures up to date for each property.
Supervisory Responsibilities: Supervise and give direction to Maintenance Technicians, vendors, and contractors; interview, hire, train, plan, direct/follow up on work orders, appraise performance, address complaints, and resolve problems.
Tenant Relations: Positive and prompt response to tenant requests; implement contract programs, assess tenant needs, and solve problems for mutual benefit.
Contract Services: Select contract services for commercial and multi‑family properties; negotiate vendor agreements and monitor vendor performance to assure full compliance with service standards.
Public Relations: Maintain a positive image of yourself, the property, Biltmore Farms LLC, and the tenant within the community.
Accountabilities Develop, communicate, and monitor property budgets and capital budgets to support company and tenant financial expectations, keeping the property within budget.
Prepare initial property budget drafts in a timely and professional manner.
Secure necessary approvals.
Monitor compliance with established budget.
Complete year‑end tenant reconciliations.
Coordinate, negotiate and issue vendor contracts for property‑level services in accordance with company parameters and budget.
Review property service contracts in preparation of bidding.
Coordinate the bidding process to achieve savings while maintaining excellence in property service.
Leasing Efforts
Assist in leasing efforts; ensure properties meet or exceed new and renewal leasing projections.
Assist in the preparation of the Marketing and Leasing Plan for Town Square.
Review setup of new leases in Yardi accounting software to ensure accuracy of lease terms, commencement and expiration dates, lease charges, and renewal options.
Assist with lease renewals as needed.
Tenant Upfit Responsibilities
Oversee construction of new tenant upfits and remodels from start to finish.
Inspect all up‑fit projects and report in writing any violations of contractor/building rules or potentially hazardous conditions.
Tenant Relations
Visit tenants regularly and know the managers.
Encourage retail stores’ participation in all advertising and events.
Act as liaison with chain stores and regional home offices.
Respond to tenant questions; keep them informed at all times.
Knowledge, Skills, & Abilities
Establish strong interpersonal relationships with team members, tenants, and vendors.
Strong organizational skills and attention to detail.
Proficiency in Outlook, Word, Excel, PowerPoint, and general knowledge of accounting, property management, document management, or commercial leasing systems.
Proven ability to manage projects, work under pressure, and consistently meet deadlines.
Experience in a fast‑paced environment and ability to prioritize multiple responsibilities.
Strong teamwork skills and willingness to suggest improvements.
Excellent customer‑service skills.
Adaptability to change within the organization and company needs.
Effective verbal and written communication with management, tenants, owners, vendors, and the public.
General understanding of property management accounting, budgeting, financial statements, and CAM reconciliation.
Ability to read architectural drawings.
Assist VP of Construction with reviewing system‑related mechanical drawings and providing technical advice for construction, building systems, and equipment.
Good knowledge of electrical, plumbing, building, roofing, and mechanical systems.
Thorough knowledge of power, water, and gas shut‑offs, plumbing cleanouts, fire extinguishers, and hydrants for each property.
Computer technology proficiency and job‑related program skills.
Use good safety habits and take necessary action in emergencies.
Minimum Qualifications
Bachelor’s degree (B.A. or B.S.) from a four‑year college or university (preferred).
Five to eight years related experience and/or training, or equivalent combination of education and experience.
NC Real Estate License is a plus.
