Role Summary We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative and operational support to our CEO, Head of Growth, and broader executive leadership team. This individual will serve as a critical partner in managing schedules, communications, and priorities, enabling the C‑Suite to focus on strategic leadership and growth initiatives. The ideal candidate thrives in a dynamic, fast‑paced environment, anticipates needs before they arise, and maintains the highest level of professionalism and discretion.
Key Responsibilities Administrative Support
Manage complex and ever‑changing calendars for CEO and Head of Growth, balancing internal priorities, external client meetings, and travel.
Coordinate domestic and international travel, including flights, accommodations, itineraries, and expense reports.
Draft, edit, and manage correspondence, presentations, and executive communications.
Organize, prepare materials for, and attend executive meetings; capture notes, track action items, and ensure timely follow‑up.
Operational & Strategic Support
Act as a gatekeeper, prioritizing requests and communications to ensure executives’ time is spent on high‑value activities.
Support preparation for pitches, client meetings, and internal presentations with research, decks, and briefing documents.
Liaise with internal teams (creative, finance, HR, production) to ensure deliverables and information flow smoothly to and from the executive team.
Manage sensitive information with the utmost confidentiality.
Project & Growth Support
Assist the Head of Growth with client outreach, CRM updates, and pipeline tracking.
Partner with business development team on logistics and scheduling for pitches, client dinners, and events.
Provide light project management support for executive‑level initiatives, ensuring milestones are met.
Culture & Events
Coordinate C‑Suite participation in all‑hands meetings, leadership off‑sites, and company events.
Serve as a cultural ambassador, supporting internal communications and helping maintain an organized, positive, and productive executive office.
Qualifications
5+ years of executive support experience, ideally within a creative agency, design studio, or high‑growth company.
Demonstrated ability to manage multiple executives with complex schedules and competing priorities.
Strong communication skills (written and verbal) and excellent attention to detail.
Tech‑savvy with proficiency in Google Workspace, Microsoft Office, and project management tools (Asana, Monday.com, or similar).
Experience with CRM platforms (HubSpot, Salesforce, or similar) a plus.
Discreet, dependable, and able to handle sensitive information with integrity.
Highly adaptable, resourceful, and comfortable in a fast‑paced, entrepreneurial environment.
