Office Assistant II - PEIMS

Primary Purpose:
Maintain current and accurate attendance records for the campus. Under direct supervision, perform data entry including attendance, Public Education Information Management System (PEIMS) data, and grades.
Minimum Qualifications:
Education/Certification
High School diploma or GED (Recognized by the Texas Education Agency or Regional Accrediting Agency)
Candidate must have satisfactory outcome of fingerprinting background check. Non-refundable fee (approximately $50) paid
by employee.
Required Experience:
Two (2) years' data entry experience
Bilingual preferred
Knowledge/Skills:
Ability to use personal computer and software to develop spreadsheets and databases, and do word processing
Proficient typing, keyboarding, file maintenance, and 10-key skills
Ability to communicate verbally and in writing
Ability to meet established deadlines

The office assistant assists with fostering analytical and collaborative environment activities such as the following:
Collect and enter attendance and PEIMS data into established database and verify accuracy according to established procedures. Prepare and print reports, including attendance reports, grades, class or personnel rosters, end-of-semester reports, or accounting reports. Maintain physical and computerized records, including student cumulative folders, progress and failure reports, class roster, and schedule changes if applicable. Process new student records, including requesting transcripts and records from other schools, setting up cumulative folder, and entering student data into appropriate databases. Process and transmit requests for student information and transcripts. Organization Management
The office assistant manages administrative, fiscal, and facilities functions responsibly through activities such as the following:
Report all attendance problems to designated administrator. Assist campus registrar as needed.
Communication and Community Relations
The office assistant promotes a positive tone for school or community relations through activities such as the following:
Interact with public in a warm and professional manner, greeting and registering new clients and helping parent with withdraws. Assist parents, students, and faculty with questions regarding student attendance. Call parent to verify student absences as needed. Professional Growth and Development
The office assistant provides leadership in professional growth and development through activities such as the following:
Keep informed of and comply with state and district policies and regulations concerning primary job function through training as needed. Qualities of Effective Office Assistant II - PEIMS
The office assistant exhibits qualities such as the following:
Demonstrate a high level of personal integrity, a collaborative leadership style and high ethical standards. Keep informed of and comply with state, district, and campus policies affecting schools, including UIL rules, daily attendance, punctuality and confidentiality. Compile, maintain and file all reports, records and other required documents. Daily attendance and punctuality at work are essential functions of this position. Maintain confidentiality. Computer, computer software programs and peripherals, scanner, printer, copier, fax, and other equipment applicable to the position.
Working Conditions:
Mental Demands/Physical Demands/Environmental Factors
Maintain emotional control under stress. Work with frequent interruptions. Work irregular hour and extended work hours to include holidays and weekends. Frequent walking, standing, stooping, and bending. Occasional lifting, carrying, pushing and pulling. Occasional district wide and statewide travel. Use computer for prolonged period resulting in repetitive hand motions. Frequent exposure to: temperature extremes (hot and cold), humidity extremes, low or intense illumination or vibration. Occasional exposure to: biological hazards (communicable diseases, bacteria, etc.) work outsides, work around moving objects or vehicles, work on uneven surfaces.
