Job Summary Under general direction, the Exec‑Assistant is responsible for supervising, coordinating, and overseeing administrative support operations of a complex and diverse city department, interpreting, formulating, and implementing department policies and procedures. Serves as a liaison between an assigned department and other administrative and support departments, and provides professional staff assistance to the assigned department director. Exercises direct supervision over assigned staff.
Work Location City Hall – 100 Military Plaza, San Antonio, TX (78205)
Work Hours 7:45 a.m. – 4:30 p.m., Monday – Friday. Additional hours may be required depending on business needs.
Essential Job Functions
Directs, manages, and oversees administrative operations of the assigned department, including interpreting, formulating, and implementing departmental policies and procedures.
Plans, prioritizes, assigns, supervises, and reviews the work of administrative staff responsible for providing professional, technical, and clerical support.
Recommends and assists in the implementation of goals and objectives; establishes schedules and methods for effective department services.
Participates in the selection of professional, technical, and clerical staff; provides or coordinates staff training; works with employees to correct deficiencies; implements disciplinary procedures.
Oversees and directs personnel administration including payroll, compensation, training, personnel requisition, and disciplinary actions.
Participates in the development and administration of the department budget; directs and co‑ordinates budget monitoring system; provides policy direction and operating procedures regarding expenditures.
Independently composes correspondence, reports, and memoranda for the department director.
Prepares various reports on operations and activities; may research and prepare cost‑benefit analyses on alternative methods of operations.
Serves as liaison for the department with other City departments, divisions, and outside agencies; negotiates and resolves significant issues.
Assists in the support of a variety of boards and commissions, serving as departmental representative on special projects, committees, and task forces as assigned.
Performs related duties and fulfills responsibilities as required.
Job Requirements
Bachelor’s Degree from an accredited college or university.
Five (5) years of increasingly responsible professional experience in overseeing administrative support operations, including two (2) years of supervisory responsibility.
Preferred Qualifications
Valid Class “C” Texas Driver’s License.
Applicant Information

Must pass pre‑employment drug testing and background checks. Additional checks (physical, motor‑vehicle record evaluation) may be conducted if required.
Military service may be demonstrated with a DD214.
Official transcripts, diplomas, certifications, and licenses must be submitted upon processing; unofficial copies may be initially attached.

Knowledge of budget preparation and administration techniques.
Knowledge of applicable federal, state, and local laws, codes, and regulations.
Skill in using office equipment and associated software.
Ability to learn the department’s policies and procedures.
Ability to supervise, organize, and review work of professional, technical, and clerical staff.
Ability to interpret, explain, and apply City and department policies and procedures.
Ability to understand department operations, services, and activities.
Ability to prepare clear and concise reports.
Ability to communicate effectively.
Ability to establish and maintain effective working relationships with City officials and the public.
Ability to perform all physical requirements of the position with or without accommodations.
