Job Title: Service Supervisor

Property: The Vive Collection - 1,245 Unit Community

Location: San Diego, CA

Reports to: Senior Service Manager


Position Summary

The Service Supervisor is the hands-on field leader and the "right hand" to the Senior Service Manager. You are responsible for leading a large team of technicians and managing the day-to-day execution of all maintenance operations in a fast-paced, high-volume environment.

Your primary mission is to ensure that all service requests and apartment turns are completed efficiently, on time, and to the highest standard of quality. The ideal candidate is an expert-level technician, a strong and patient leader, and a master of organization, quality control, and team motivation.

Core Responsibilities

1. Team Leadership & Workflow Management

  • Lead, Train, & Mentor: Directly supervise a large team of Service Technicians, Groundskeepers, and Porters, providing daily guidance, hands-on training, and coaching.
  • Daily Workflow: Create the daily maintenance schedule, assigning and prioritizing all service requests and make-ready tasks to technicians based on skill and urgency.
  • Manage Work Order System: Monitor the property's work order system (e.g., Yardi, Entrata) in real-time, ensuring all requests are acknowledged, assigned, and closed out properly.
  • Quality Control (QC): Perform daily inspections of completed service requests and vacant "rent-ready" apartments to ensure work is completed correctly the first time.
  • Performance: Assist the Service Manager with performance reviews, corrective action, and setting goals for the maintenance team.

2. Apartment Turnover (Make-Ready) Management

  • Manage the Turn Process: Oversee the entire make-ready board, coordinating with the leasing team to ensure all vacant units are made 100% rent-ready within the company's established timeframe (e.g., 5-7 days).
  • Punch Lists: Walk all vacant units, create detailed punch lists for technicians, and manage the "make-ready" workflow from start to finish.
  • Vendor Coordination: Assist in scheduling and inspecting the work of third-party vendors (e.g., painters, carpet cleaners, resurfacers).

3. Advanced Maintenance & Technical Support

  • Expert Diagnosis: Serve as the team's lead technical expert, handling the most complex, escalated service requests that are beyond the skill set of other technicians (e.g., advanced HVAC, complex plumbing, electrical troubleshooting).
  • Hands-On Support: Work "in the field" alongside your team, actively completing service requests and turns, especially during peak times.
  • On-Call: Participate in the on-call rotation, serving as the first point of escalation for after-hours emergencies and guiding the on-call technician.

4. Operations & Administration

  • Inventory Control: Assist the Service Manager in maintaining shop organization, tracking supply levels, and ordering parts and materials to prevent downtime.
  • Preventative Maintenance: Help implement and manage the community's preventative maintenance program (e.g., filter changes, building inspections, amenity upkeep).
  • Safety: Champion the company's safety program. Ensure the team adheres to all OSHA, EPA, and Fair Housing regulations and properly uses Personal Protective Equipment (PPE).

Key Performance Indicators (KPIs)

Success in this supervisory role will be measured by:

  • Service Request Completion Time: The average time from work order creation to completion (Goal: e.g., < 36 hours for non-emergencies).
  • "First-Time Fix" Rate: Percentage of service requests completed correctly the first time, without a callback (Goal: 95%+).
  • Make-Ready Turn Time: Average number of business days to turn a vacant unit from "move-out" to "rent-ready" (Goal: < 7 days).
  • Team Productivity: Average number of work orders completed per technician, per day.
  • Resident Satisfaction Scores: Maintain a minimum team average 4.5/5.0 score on maintenance-related surveys.

Qualifications & Skills

  • Experience: Minimum 5-7 years of hands-on experience in multifamily property maintenance.
  • Leadership Experience: Minimum 2+ years in a supervisory or lead technician role.
  • Property Size: Experience at a large-scale (300+ unit), high-volume community is required.
  • Certifications:
    • EPA Universal Certification is required.
    • Certified Pool Operator (CPO) is required.
    • Certified Apartment Maintenance Technician (CAMT) is strongly preferred.
  • Technical Skills: Must be an expert-level (Master) technician with advanced, "teaching-level" skills in:
    • HVAC (troubleshooting and repair)
    • Plumbing (repairs, replacements, snaking lines)
    • Electrical (diagnostics, fixture and breaker replacement)
    • Appliance Repair
    • Carpentry, drywall, and painting
  • Leadership: Proven ability to lead, train, and motivate a team in a high-pressure environment.
  • Organization: Exceptional time management and organizational skills to manage hundreds of competing priorities.
  • Requirements:
    • Must have a valid driver's license and reliable transportation.
    • Must have your own set of professional-grade tools.
    • Proficiency with property management software (Yardi, RealPage, etc.) is required.
