Our CEO leads with vision and drive — and requires an Executive Assistant who can bring structure, efficiency, and reliability to his day-to-day operations.

About the Role This position serves as the right hand to the CEO, ensuring his business and administrative needs are managed seamlessly. The Executive Assistant will provide comprehensive support across scheduling, communication, organization, and task execution, allowing the CEO to focus on growth and leadership priorities.

This role requires someone who thrives in a fast-paced environment, maintains discretion and professionalism, and can manage multiple priorities with precision and follow-through.

Key Responsibilities Executive & Administrative Support

Manage CEO’s calendar, schedule meetings, and ensure all commitments are well-prepared and on time.

Handle email management, prioritizing urgent matters and ensuring timely responses.

Coordinate travel arrangements, including flights, accommodations, itineraries, and logistics.

Prepare meeting agendas, take notes, and ensure follow-up actions are completed.

Maintain and organize digital and physical filing systems, ensuring easy access to key information.

Draft and proofread professional correspondence, reports, and presentations.

Handle confidential information with the utmost discretion.

Operational Coordination

Serve as the point of contact between the CEO and internal team members.

Track and follow up on assigned tasks, ensuring deadlines are met and priorities stay on track.

Assist with document collection, expense reports, and vendor coordination.

Support onboarding or administrative logistics for new hires reporting to the CEO.

Help prepare materials and logistics for leadership meetings, team events, or travel.

Personal Assistance

Support CEO with select personal and household coordination tasks (scheduling personal appointments, coordinating with the House Manager, property maintenance vendors, etc.).

Assist with family-related scheduling and occasional errands as needed.

Qualifications

Minimum 5+ years of experience supporting a senior executive (CEO, Founder, or similar).

Strong organizational and project management skills with extreme attention to detail.

Excellent written and verbal communication.

Proficiency in Google Workspace and general tech-savviness (QuickBooks, ClickUp, CompanyCam a plus).

Professional presence and ability to handle confidential information with discretion.

Proactive, dependable, and comfortable working in a fast-paced, entrepreneurial environment.
