Administrative Assistant

Compensation

  • Pay Range: $20-$24/hr (equivalent to $41,600–$50,000 annually for a 40‑hour week), based on experience & skills; benchmarked annually to ensure ongoing competitiveness
  • Overtime: $30-$36/hr for work beyond 40‑hrs/week (average of $1,500 annually)
  • Annual Bonus: Up to a $2,500 cash bonus, based on Firm and individual performance
  • Transportation/Parking Stipend: $140/mo ($1,680 per year)

Key Administrative Assistant Responsibilities (what you’ll do)

  • Facilities Management: Maintain office functionality, cleanliness, supply inventory, and vendor relationships; coordinate repairs and service needs.
  • Event Planning: Plan, coordinate, and manage Firm events, trainings, and activities to maximize participation, efficiency, and cost control.
  • IT Coordination: Provide first‑level IT support, manage Firm technology equipment; liaise with external IT providers and telecom vendors for advanced support.
  • Marketing and Communications: Maintain the Firm website, manage social media and press releases, and draft internal newsletters, communications, and meeting materials.
  • Executive Assistant Support (COO): Assist COO with scheduling, formatting documents, processing expenses, and managing special projects.
  • Administrative Coverage: Provide backup coverage for messenger and reception duties, manage deliveries, and maintain organized records.
  • Library and Emergency Preparedness: Oversee law library subscriptions and maintain emergency response plans and equipment.
  • General: Other duties, as assigned.

Minimum Requirements (what we’re looking for)

  • Experience: 3+ years’ experience in a legal office, administrative support role, or executive assistant capacity
  • Communication: Clear, professional written and verbal communication skills
  • Client Service: Friendly, patient, and service‑oriented team player with sound judgment and professionalism
  • Independence: Resourceful self‑starter who learns quickly and operates effectively with minimal direction
  • Tech Savvy: Proficient in (or quick to learn) MS365, Adobe Acrobat, and standard office equipment
  • Reliability: Reliable and adaptable with excellent time management and prioritization skills and maintains meticulous attention to detail to ensure accuracy.
