Executive Assistant (Mandarin-Speaking)

Location: North Phoenix, AZ (Onsite)

HotFoot Recruiters is seeking a proactive and highly organized Executive Assistant to support a visionary executive leading advanced technology and engineering initiatives. This position goes beyond traditional administrative tasks. Ideal for someone who thrives in a dynamic environment, values discretion, and can turn abstract ideas into actionable plans.

Responsibilities

  • Manage the executive’s calendar with precision—acting as a "calendar gatekeeper" to protect time and reduce unnecessary interruptions.
  • Coordinate complex travel arrangements, internal meetings, and email communications on behalf of the executive.
  • Assist in communicating directives, priorities, and updates to internal teams—ensuring clarity and alignment across departments.
  • Listen to executive concepts, translate them into research projects, and deliver summary reports or recommendations.
  • Provide administrative oversight and light support to project management teams and internal initiatives.
  • Anticipate needs, handle sensitive information confidentially, and proactively solve issues before they escalte.
  • Maintain a high level of professionalism, emotional intelligence, and strategic thinking in all interactions.

Qualifications

  • Fluent in Mandarin and English, with strong cross‑cultural communication abilities.
  • Strategic, thoughtful, and solution‑oriented, someone who is a problem solver.
  • 5+ years experience supporting C‑suite or executive‑level leaders in fast‑paced or technical industries such as constructions or advanced manufacturing.
  • Exceptionally organized with strong follow‑through, prioritization, and planning skills.
  • Comfortable handling a blend of administrative tasks and strategic responsibilities.
  • Ability to multitask, meet deadlines, and adapt to changing priorities with minimal supervision.
  • Professional and poised under pressure—able to balance diplomacy with directness.
  • Prior experience working in business operations, tech, or engineering environments.
  • Comfortable managing confidential or sensitive company information.
  • Growth mindset with interest in long‑term leadership or management pathways.
  • Need to be open to international travels with the executive team.
