Job Description

Performs a wide variety of complex and responsible secretarial and clerical duties for the Principal and/or Assistant Principal at a secondary school or an administrator of a department. Coordinates and oversees school office or department activities, assuring smooth and efficient office operations at an assigned school or department; performs public relations and communications services. Exercises direct supervision over an office clerical staff. Provides basic training and onboarding to clerical staff, including substitutes assigned to the school or department. Performs related duties as assigned.

Current Vacancy

The resulting eligibility list from this examination will be used to fill anticipated vacancies. Permanent positions in this classification are 8 hours per day, 12 months per year, and include full district‑paid benefits. The same list will be used to fill substitute (temporary/as‑needed) positions that may occur during the one‑year life of the list; substitute assignments do not include benefits.

Typing Certificate Requirement

All applicants must submit a typing certificate indicating a minimum of 55 net words per minute with at least 80% accuracy. Certificates must be attached to the online application. Incomplete applications or those without a valid certificate will be disqualified.

Examples of Duties

  • Performs secretarial duties for the administrator; composes, prepares, types, proofreads, and distributes a variety of written communications including correspondence, special bulletins, forms, notices, and memoranda independently and from oral instruction; schedules appointments and meetings; prepares and maintains the school master calendar.
  • Plans, schedules, and prepares relevant paperwork for a variety of special events, conferences, orientations, parent activities, staff meetings, field trips, and/or other programs.
  • Prepares requisitions and invoices for the school and various departments; receives and distributes items per district policies; stores and distributes school, department, and office supplies and materials; maintains materials and equipment inventories.
  • Plans, organizes, and coordinates a wide variety of clerical and other office functions and activities related to the administration of diverse programs and operations at the assigned secondary school site or department.
  • Coordinates communication between the office and faculty, students, parents, and outside organizations; greets visitors and initiates and receives telephone calls, emails, and written mail; provides detailed information concerning school or department policies, procedures, actions, activities, programs, and schedules; requests necessary information; takes and transmits messages as appropriate.
  • Onboards, trains, and supervises assigned staff.
  • Maintains payroll for certificated, classified, and other assigned staff; verifies and computes employee time sheets; obtains proper signatures; receives and distributes paychecks; maintains confidentiality of sensitive and privileged information.
  • Prepares board action items for changes to certificated, classified staff, coaches, and faculty assignments.
  • Collects, compiles, organizes, and records a variety of data for various reports related to attendance, enrollment, personnel, payroll, and school activities; prepares and maintains lists, records, files, and logs.
  • Collects and accounts for Non‑ASB monies collected in conjunction with school activities; secures monies and processes according to established procedures.
  • Prepares a variety of budget and financial materials, correspondence, reports, and statistical information; monitors revolving cash fund; writes checks; submits forms for fund reimbursement; monitors expenditures and assigned account balances; completes appropriation transfer documents.
  • Requests substitute teachers as needed; assures adequate coverage of classrooms; greets and assists substitute teachers by providing keys, materials, and pertinent information; maintains accurate attendance records and prepares time sheets.
  • Performs related work, as required.

Minimum Requirements

  • Education: Graduation from high school or equivalent.
  • Experience: Three years of recent experience in increasingly responsible and complex clerical work, including one year in a supervisory capacity or one year experience at the level of an Administrative Assistant with the Glendale Unified School District.
  • Typing Certificate: Ability to type/keyboard input accurately at a speed not less than 55 net words per minute.

Desirable

  • Experience in a lead or supervisory capacity.
  • Written and oral proficiency in a second language.
