Primary Purpose
Ensure efficient operation of school security office and provide clerical services for Chief of Police, Truancy officers, and school’s administrative staff. Support implementation of health and safety protocols while promoting and maintaining a positive, safe and supportive environment. Promote and reinforce district safety protocols and guidelines. Provide assistance to campus personnel in interpreting and enforcing compulsory attendance laws and resolving truancy, excessive absences, and tardiness problems. Serve as district liaison to parents, law enforcement agencies, and court personnel.
Qualifications
Education/Certification
High school diploma or GED
Special Knowledge/Skills
- Knowledge of state compulsory attendance laws
- Knowledge of juvenile justice system and ability to present truancy cases to the court
- Ability to interpret laws, policies, and procedures
- Strong organizational, communication, and interpersonal skills
- Ability to operate personal computer to develop databases and do word processing
- Ability to travel districtwide to conduct home visits and visit sites where truant students have been reported to the district
- Proficient keyboarding and file maintenance skills
- Ability to use software to develop spreadsheets, databases, and do word processing
- Ability to maintain accurate and auditable records
- Knowledge of basic accounting principles
- Ability to follow verbal and written instructions
- Ability to perform a variety of tasks often changing assignment on short notice
- Effective organizational, communication, and interpersonal skills
Experience
2 years secretarial experience
Major Responsibilities And Duties
Records, Reports, and Correspondence
Prepare campus communications, correspondence, forms, manuals, reports, purchase orders, and payment authorizations following district standards and requirements.
Prepare instructional materials as requested.
Compile, maintain, and file all reports, records, and other documents as required. Maintain student records according to established procedures.
Attendance Enforcement
- Investigate cases of unexcused and excessive absences and tardiness and enforce provisions of compulsory attendance laws.
- Implement truancy prevention measures in accordance with state regulations.
- Investigate cases of suspected drop out and retrieve unreturned textbooks and other school property when appropriate.
- Maintain a log of students who are at risk of being truant according to state law.
Consultation
- Meet at least weekly with principals and attendance clerks or other court appointed individuals to discuss effective truancy prevention measures.
- Confer regularly with teachers, counselors, principals, and other staff as well as parents to identify problems of tardiness, attendance, and student truancy.
- Conduct home visits and parent conferences on virtual learning, student truancy and attendance problems. Make parents aware of compulsory attendance laws and school policy for parents and students.
Administration
- Compile, maintain, and file all reports, records, and other documents required, including records of all cases investigated and reports required by the commissioner of education.
- Implement and comply with policies established by federal and state laws, State Board of Education rule, and local board policy in the area of student attendance. Comply with all district and campus routines and regulations.
Reception and Phones
Receive incoming calls, take reliable messages, and route to appropriate staff.
Assist students, teachers, and parents as needed.
Schedule meetings and appointments and maintain calendar for Chief of Police.
Other
Assist with planning, preparation, and setup of meetings and campus activities.
Sort, distribute, or deliver mail and other documents.
Maintain confidentiality.
In addition, other duties as assigned by Chief of Police.
