Georgia-Pacific is seeking a Department Assistant to provide administrative support for the Consumer Products Supply Chain organization. This position involves extensive contact with various levels of internal personnel as well as some external customers. The successful candidate must be detail‑oriented, a multi‑tasker, and must possess the ability to work collaboratively with customers and admin peers. The candidate must be naturally curious, a continuous learner and advance in the adoption of existing and new technology to find ways of automating and simplifying work processes. Our Team
Georgia‑Pacific’s Supply Chain organization is responsible for customer solutions, network strategy, supply and demand planning, distribution center and warehousing operations, outsourced finished goods, and packaging. In addition, our team oversees project management, data analytics, and learning and development.
What You Will Do
- Provide administrative support to the leadership team (Senior Vice President and his direct reports which include 7 Vice Presidents and their teams) including calendar, meeting, event and catering coordination, expense reports, and domestic and international travel arrangements that may include requesting use of Koch corporate plane. Handle sensitive information with confidentiality and discretion.
- Serve as a change agent, manage and communicate any Supply Chain or related changes that may impact the team, understanding the impact and effectively communicating changes as well as maintaining the supply chain distribution lists and sending out monthly organizational announcements for the team.
- Assist in supporting floor office duties such as mail distribution, shipments, identifying facilities related items, office and break room supply ordering and management, and employee move requests.
- Coordinate large meetings and events that include internal and external attendees.
- Act as a liaison, problem solver, and facilitator as the first contact for the team. Work with office support capabilities such as IT, AV, Facilities, Ambassadors.
- Handle administrative duties including procurement card for department, department and direct‑report meetings, and expense reports.
- Maintain floor needs, secure technical and AV assistance, manage visitor security registration and parking validations and payments to the garage, as well as BlueSky/LIFT Team liaison for floor requirements and logistics.
- Support engagement with outside organizations/nonprofits.
- Cooperate with other Executive Assistants on inter‑office meetings and events.
- Assist meeting and events team as needed, as well as research and coordination of meetings on and off‑site events such as GP anniversaries, GP retirements and dinners as needed.
- Assist in onboarding/offboarding activities.
Who You Are (Basic Qualifications)
- 3+ years of professional office experience providing support to multiple teams and leaders.
- Experience working with and maintaining confidential information.
- Experience working in a fast‑paced environment while prioritizing multiple items.
- Experience in project management (for events, meetings and initiatives).
- Experience supporting multiple calendars, travel and expense reports.
- Experience learning new technology.
- Proficiency with Microsoft Outlook, SharePoint, Word, Teams, PowerPoint (creating and updating decks) and Excel (creating, updating and organizing spreadsheets/reports).
