Job Summary The Lease Administrator is responsible for abstracting and interpreting commercial lease documents (leases, amendments, subleases), billings, collections and tenant lease compliance matters.
Responsibilities Abstracting & Lease Data Management
Set‑up new tenants and update tenant information, status and dates
Record tenant lease data into MRI software platform
Tracking and maintaining critical dates, including timely issuance of all notice requirements, from pre‑opening through opening and eventual termination
Provide analysis of lease terms (co‑tenancy clauses, termination rights, assignments and subleases, landlord and tenant responsibilities, etc.)
Create and distribute critical date ticklers monthly for tracking dates of lease expirations, option notices and rent increases, to ensure compliance with the terms of the leases
Set up recovery pools
Ongoing maintenance of database of lease information and abstracts upon the occurrence of amendments, new locations, expirations, etc.
Update recurring charges (rents, CAM estimates, etc.)
Financial reporting and communications
Rent variance analysis and rent payment processing to ensure accuracy
Respond to questions from internal staff and tenants regarding procedures, lease interpretation, billing calculations, and lease compliance issues
Work with partners/external clients including maintaining lease summaries, recurring payments spreadsheets and pending items reports, and maintaining property lease files according to established standards
Create and maintain positive client/tenant relationships
Prepare written correspondence to tenants and clients
Respond to lease related questions
Provide regular and frequent status reports to all parties
Coordinate with the Property Managers for the timely submission of tenant surrender forms and other lease updates prior to running the monthly rent roll
Prepare and review monthly rent roll reports for accuracy
Review rental statements and invoices for accuracy, as well as for extra service charges which require verification against the lease
Lease Compliance
Ensure tenant compliance with the terms of their leases, including issuing notices to tenants
Track important lease transaction dates to ensure timely completion
Issue appropriate notices to tenants per the terms of the lease
Maintain a master property schedule with critical lease clauses
Billing and Collections
Billing/collections of tenant rents
Billing adjustments as needed and/or as requested by accountant, PM, or AM
Issue accurate and timely billings to Tenants
Resolution of rent and other landlord/tenant issues
Preparation and review of annual landlord reconciliation statements for operating expenses and real estate tax calculations to ensure accuracy and lease compliance (calculate actual recovery expenses for each tenant, and review caps, base years, and non‑standard exclusions)
Issue collection letters, make collection calls, coordinate with Manager for collection escalation needs
Handle landlord communication where charges need to be challenged
Review, as well as prepare Consumer Price Index adjustments as provided for in commercial leases
Ensure that the Percentage Rent or Gross Sales provisions of the leases are adhered to; maintain the integrity of lease data file systems
Due Diligence
Set up new property records after purchase
Complete Estoppel and SNDA forms and track execution process
Prepare due diligence (rent rolls, outstanding TIs, commissions)
Qualifications
Associate’s Degree or higher degree with related business focus from accredited institution preferred
Minimum three (3) years of real estate property lease administration experience required, preferably commercial real estate
Proficient with PC‑based computers and Microsoft Office suite, including Word, Excel and PowerPoint; Outlook
Proficient with real estate/property management software programs/platforms such as MRI required
Excellent oral and written communication skills, effective communication skills and ability to interact easily with others at all levels of the organization and the public
Excellent math, reading and proofreading skills
Strong multi‑tasking skills; attentive to detail and ability to prioritize work and meet deadlines
Must be able to set and meet independent deadlines while working closely with senior management
Maintain highest standard of business ethics and trustworthiness
Physical Requirements This position is primarily performed in an office setting with extended periods of sitting and computer/keyboard use; reading documents; spreadsheet calculations; phone and other electronic equipment. Typing dexterity needed; minimal lifting ( All job offers with MCB are contingent upon receipt of satisfactory background check reports as allowed by applicable federal and state law based upon required job duties. Background checks may include consumer reports including, but not limited to, federal and state criminal, identity, credit, and driving record.
