Graduate Student Advisor, Ecology and Evolutionary Biology Department Graduate Student Advisor provides the full range of student services for students pursuing M.A. and Ph.D. degrees within the Department of Ecology and Evolutionary Biology, under the direction of the Department Manager. The incumbent independently manages the department's graduate program, coordinating programmatic activities and providing administrative oversight.

Job Summary Using skills as a seasoned, experienced Student Services professional, the Graduate Student Advisor manages a range of functions including student advising, program planning, academic employment, recruitment, admissions, budgeting, and policy development. The role advises faculty and management, recommends policy changes, and collaborates with specialized offices and faculty.

Job Duties 35% – Graduate Student Advising and Counseling

Applies professional student services concepts; provides full range of services.

Academic Advising: Advises faculty on policies; serves as primary policy expert; reviews student progress; advises students and faculty on degree requirements; identifies progression problems and recommends interventions.

Leads new student programming and orientation; serves as resource to graduate student leaders.

35% – Financial Management, Graduate Student Employment and Curriculum Financial Management

Oversees administration, evaluation, and awarding of fellowships, grants, scholarships, and other awards; advises students on opportunities.

Manages equitable use of the EEB “block” fund, allocates spending on admissions and summer support, and administers internal fellowship awards.

Curriculum and Graduate Student Employment

Oversees quarterly assignments of Graduate Student Instructors, Teaching Assistants, and Graduate Student Researchers.

Coordinates student evaluations of teaching, configures surveys, reviews results, and reports problematic evaluations to the Department Chair.

Devises curriculum planning in collaboration with partners; maintains internal database and provides reports.

15% – Recruitment, Admissions and Outreach

Plans and implements outreach programs; advises prospective applicants on preparation and program fit.

Helps rank applicants; evaluates transcripts; initiates recruitment visits.

Trains undergraduate advisors on the 4+1 Master’s program; reviews applicants with the advisory committee; recommends admissions.

15% – Faculty, Academic and Administrative Support

Provides backup to the administrative manager and processes non-senate academic personnel files.

Ensures efficient communication flow within the department.

Assists in resolving problems, recommending solutions, and implementing changes.

Oversees editing and updating of department information in publications and web presence.

Works on special projects and manages duties with little direction.

Required Qualifications

Bachelor’s degree in related area or equivalent experience.

Knowledge of advising and counseling techniques.

Experience in higher education student advising.

Multicultural competencies; ability to work with diverse populations.

Ability to interpret and apply UC and agency policies.

Problem‑solving skills; ability to develop original ideas.

Financial literacy; ability to develop and present budgets.

Judgment, decision making, and discretion with sensitive matters.

Strong writing and editing skills.

Organizational and planning skills; ability to set priorities and meet deadlines.

Preferred Qualifications

Master’s degree in related area.

Experience with historically underrepresented and first‑generation students.

Knowledge of university computer applications and risk assessment procedures.

Special Conditions of Employment

Background and misconduct disclosure checks required.

Training in UC compliance on a time‑limited basis.

Discretion required in managing sensitive information and data protection.

Work primarily on campus with occasional remote availability.

Ability to work evenings, weekends, and travel as needed.
