Job Summary Senior Program Administrator – CIMS at Rochester Institute of Technology (Golisano Institute for Sustainability – GIS). This full‑time, in‑person position reports to the GIS technical director and supports grant and contract administration, project management, and strategic planning for the applied research center (CIMS) and the Center of Excellence in Advanced and Sustainable Manufacturing (COE‑ASM).

Responsibilities

Contribute to strategic planning and implement tactical methodologies for COE‑ASM and other research programs; coordinate and plan with the technical director and participate in COE‑ASM Advisory Board meetings.

Report to GIS technical director on program status and progress; coordinate with the director to achieve outputs and metrics for NYS.

Work with the technical director, program managers, and marketing team to determine the marketing strategy for programs and ensure messaging complies with contract requirements.

Develop program strategies, goals, and objectives; track progress to deliver contract deliverables and maintain compliance.

Stay abreast of relevant research, business trends, environmental initiatives, DOE, NYSERDA, DoD, and other sponsor focus areas to support strategic planning.

Assist staff with scopes of work, budgets, and subawards; review project SOWs for scope, schedule, and budget and compliance.

Use critical thinking skills to review and edit outputs and ensure accurate messaging; monitor proper markings per RIT and contractual requirements.

Assist project managers with final technical reports, including sponsor acknowledgements and required disclosures.

Write scopes of work and initiate purchase orders for vendors, consultants, and partners.

Manage subawards, track progress on scope, schedule, budget, and resolve issues.

Develop, review, draft, and modify sponsored research contractual documents (e.g., grants, agreements, NDAs, amendments, subawards) using university‑approved templates.

Lead preparation and submission of progress reports to program sponsors, ensuring all required reports are completed.

Implement best practices and create new processes to improve program delivery.

Provide training, guidance, and mentoring to other administrative/business operations staff; review quality of work and build strategic relationships.

Serve as a resource, guide less experienced colleagues, and maintain relationships with external sponsors and RIT departments.

Facilitate the organization and submission of proposals for external funding; advise PIs and liaise with RIT Sponsored Research Services.

Identify funding opportunities and assist with proposal development, ensuring cohesive, well‑written proposals and budget accuracy.

Build and maintain relationships with research partners; coordinate partner participation on proposals.

Assist leadership and staff with idea generation, project design, and proposal narrative writing.

Maintain organized documentation of proposal communication and decisions; use RIT proposal management software (e.g., Novelution). Create checklists and tools for timely submission.

Required Qualifications

MBA or other Master’s degree in a related field plus a minimum of 7 years of related work experience, OR Bachelor’s degree in business administration or related field plus a minimum of 8 years of related work experience.

Minimum 5 years of experience with state and federal sponsored research program grants and contracts administration.

Experience reviewing and responding to RFPs, proposal writing, and success in securing sponsored research grants.

Experience developing project scopes of work, budgets, and schedules.

Experience with subawards and partner organizations.

Experience reviewing, drafting, and modifying sponsored research contractual documents.

Experience supporting research or managing programs.

Skills

At least 5 years of directly related experience with state and federal sponsored research program grants and contracts administration.

Experience reviewing and responding to RFPs issued by state and/or federal agencies; research proposal writing experience; demonstrated success in securing sponsored research grants.

Experience developing project scopes of work, budgets, and schedules.

Experience with subawards and working with partner organizations.

Experience reviewing, drafting, and/or modifying sponsored research contractual documents.

Experience supporting research or managing programs.

Preferred Qualifications

Education: MBA or MS preferred; experience supporting technical applied research.

Experience: strong general business aptitude; big picture, strategic thinker; strong writing, editing, and communication skills; ability to function under limited supervision; highly organized; highly motivated; strong critical thinking; project management; strong computer skills in MS Office Suite; ability to train and mentor staff; professional demeanor to communicate with executive level collaborators, clients, and sponsors.

Compensation Hourly/Salary Minimum: $60,200

Hourly/Salary Maximum: $100,800
