About the Role

Our client is seeking a Senior Payroll Tax Analyst responsible for payroll tax reporting, compliance, liabilities, and the filing of employment tax returns for multiple FEINs across multiple states. This role ensures the integrity of employee wage and tax data reported on employees’ Form W-2.

The Senior Payroll Tax Analyst will work with large volumes of complex data, identify process improvements, and implement automations to improve accurate and timely tax payments and filings.

Key Responsibilities

Ensure the accuracy, timeliness, and completeness of all monthly, quarterly, and annual tax filings, amendments, and reporting, including employee W-2s and W-2c’s.

Reconcile all tax and wage amounts for multiple legal entities monthly, quarterly, and annually between the payroll system and third-party tax service, including W-2s to payroll tax reports and quarterly 941 returns to W-2 totals; research and correct discrepancies.

Analyze payroll tax issues and recommend solutions related to employee mobility, reciprocal taxation, stock taxation and reporting, inpats and expats, employer-provided fringe benefits, and local taxation.

Review and reconcile daily tax and wage amounts submitted to third-party tax services; research and resolve discrepancies.

Perform monthly, quarterly, and annual reconciliations of gross earnings to taxable wages to validate accuracy.

Submit tax notices and facilitate resolutions with third-party vendors to avoid penalties; research root causes and implement preventive measures.

Provide excellent customer service in responding to payroll tax-related inquiries from employees, agencies, and internal/external stakeholders.

Research and process W-2 corrections (W-2c’s), including review, approval, and distribution.

Review Workday tax updates, test accordingly, and communicate key changes to Payroll and HR teams.

Partner with Payroll to ensure state and local taxes are set up correctly, particularly for employees who live and work in different states.

Maintain unemployment tax rates and communicate changes to third-party vendors.

Apply for and register new state SUI and withholding tax accounts for new locations or FEINs as needed.

Prepare tax returns and reporting not handled by third-party services, including other government-required reports.

Review third-party sick pay and ensure proper reporting.

Collaborate with management to enhance, streamline, and document payroll tax processes.

Stay current on federal, state, and local tax regulations, including taxation of fringe benefits; ensure compliance and advise management as needed.

Qualifications

Bachelor’s degree or equivalent combination of experience and education.

FPC or CPP certification strongly preferred.

5+ years of experience servicing a large volume of employees (including remote workforces) in a multi-state, multi-entity organization.

Comprehensive knowledge of federal, multi-state, and local wage, hour, and tax regulations.

Strong working knowledge of taxation of fringe benefits and long-term equity incentive instruments (RSUs, NQ Stock Options, etc.).

High level of accuracy, attention to detail, service orientation, integrity, discretion, and ownership of work.

Ability to work independently, navigate ambiguity, and make decisions based on data analysis.

Ability to prioritize and multitask in a fast-paced environment.

Intermediate to advanced analytical skills, including Excel (VLOOKUP, Pivot Tables) or other analytical tools.

Excellent interpersonal, oral, and written communication skills.

Ability to handle confidential information with discretion.

Nice to Have

Experience with Workday and ADP systems.

Experience with inpats and expats.

Experience with international payroll (UK, EU, Israel).
