The Auto Claims Administrator serves in a support role for the Risk Management department. Handling claims, incident reports, file/record keeping, follow up, scheduling, and other relevant duties assigned by the department lead.

Responsibilities

Administers claims on all on‑road/off‑road vehicles and some general liability; main intake source for incident reports, dash cams, photos, and other documentation pertaining to the accident.

Manages and maintains records of all losses and citations, providing data to assist all risk/safety personnel in reducing number of losses overall.

Accountable for maintaining monthly, quarterly, and annual reports showing claim costs, expense reserves and accident frequency for VP/GMs and regional Safety Managers.

Responsible for composing Subrogation Demands for not‑at‑fault claims, requiring and ensuring CalPortland gets payment for damages.

Requests work orders for all repairs done in‑house to present in subrogation demand.

Takes calls regarding windshield claims; sends out claim‑filing instructions to claimants and submits claims to insurance once dispatch has verified truck's location.

Manages all accident (hard) files/records in‑house.

Acts as the main point of contact for CalPortland regarding accidents; works closely with insurance companies and attorneys to set reserves, as well as authorize offers/settlements of claims where court involvement may or may not apply.

Communicates and coordinates with management, dispatch, claimants, and employees to aid in resolving claims.

Education High School Diploma

Requirements/Qualifications

Ability to defuse and resolve situations where emotions can be elevated while remaining composed and objective.

Fairness to determine proper claims settlements and cost control; authorizes cost paid out by insurance.

Must possess discernment, great judgement of character and ability to make good judgment.

Effective negotiation skills when determining liability or discussing repairs.

Skilled Microsoft Office (Excel, Word, Outlook), SAP and customer service.

Exceptional written and verbal communication.

Strong attention to detail, dependability, and follow through of all claims.

Preferred Preferred candidates may bring additional relevant experience or certifications.

Conditions of Employment Successful candidate must submit to post‑offer pre‑employment physical examination, drug/alcohol screen, and background check. Some positions require FMCSA regulated ongoing drug and alcohol testing.
