Required Qualifications

Bachelor's degree (foreign equivalent or higher).

Two (2) years of full-time work experience.

Experience with fundraising, philanthropy, alumni relations, donor cultivation, events, and/or stewardship practices.

Preferred Qualifications

Experience working in a university, nonprofit and/or large hospital system.

Demonstrated experience working with and/or organizing volunteers.

Experience working directly with alumni, students, and faculty.

Experience using fundraising databases and/or CRM systems.

Brief Description of Duties The Stony Brook University Advancement Coordinator, Alumni Engagement supports Advancement’s mission by fostering meaningful connections between alumni, the University, and the Stony Brook Alumni Association through programming, communication, and volunteer engagement. The Coordinator will be responsible for planning and implementing alumni events, managing program logistics and communications, and supporting alumni boards and committees. They will work with colleagues across Advancement, academic units, and campus partners to support Advancement’s goals and strengthen lifelong alumni relationships.

Responsibilities

Relationship Development:

Develop a comprehensive understanding of University Advancement and Constituent Experience team structure, including key stakeholders, departments, and processes, to facilitate effective communication and collaboration. Partner with academic units, campus departments, and volunteers to strengthen alumni participation. Support alumni boards and committees by preparing materials, coordinating logistics, and facilitating ongoing communication and follow-up.

Communication:

Serve as a central point of contact for the Alumni Engagement team, ensuring clear and consistent communication at all times. Draft and coordinate event communications, invitations, and follow‑up materials that align with Advancement objectives and reflect the University’s brand and messaging standards.

Project Coordination:

Support the planning, implementation, and promotion of alumni programs and events, both in‑person and virtual. Track progress, manage logistics, monitor deadlines, and coordinate with internal and external partners to ensure successful execution of engagement activities and initiatives. Projects will include but not limited to academic, networking, career and social events; reunion activities; and initiatives to strengthen alumni communities within geographic regions and within academic colleges and programs.

Team Support:

Provide administrative support to team members, including scheduling, correspondence, and document management. Maintain accuracy across databases and alumni records, assist with tracking engagement metrics, and support follow‑up communications to strengthen alumni connections.

Growth/Development:

Embrace opportunities for growth and utilize best practices to continuously improve performance and contribute to the success of the organization.

Other duties as assigned.

Additional Information Special Notes: The Research Foundation of SUNY is a private educational corporation. Employment is subject to the Research policies and procedures, sponsor guidelines and the availability of funding. This is a full‑time appointment. FLSA Non‑Exempt position, eligible for the overtime provisions of the FLSA.
