The Company portfolio consists of 700+ retail properties and over 6M square feet spread across 20+ states.
Opportunity The Company is looking for a candidate that brings an entrepreneurial approach to the Property Administrator role and contributes to a dynamic real estate team. The Property Administrator will spot and solve problems, maintain data accuracy, oversee the full life cycle of the lease, and support property management functions.
Responsibilities
Abstract new leases into the MRI accounting system
Enter and manage all lease notes, maintain critical dates, and follow up, as required, to ensure property management and leasing teams are aware of any approaching critical notice periods.
Manage tenant Certificate of Insurance across the portfolio.
Work with property management to ensure commencement exhibits are executed, security depositLOC and operating expense information is correctly entered in MRI.
Own MRI data integrity for all lease related data.
Support real estate accounting with RE Tax analysis.
Direct new tenant onboarding and welcome communications
Managing utilities including transfers and trash/recycling contracts.
Coordinate monthly AR meetings and work with property management to ensure rent and other income are collected in a timely fashion and proper follow up is taken.
Work with property management to ensure preparation of delinquency notices and initiation of appropriate action in the event of monetary default.
Track tenants under construction prior to rent commencement working with the leasing, construction, and property management teams to fulfill lease obligations.
Participate in the due diligence as necessary for acquisition/disposition of assets.
Accounting adjacent support for YE reconciliations, tenant billing and accounts payable applications, and accounting reporting.
All other duties as assigned and associated with the day-to-day operation of a commercial real estate portfolio.
Requirements / Qualifications
1-3 years administrative experience, preferably in the real estate/property management industry
Position is in office; not remote
Experience with real estate leases, including all related lease documents, a plus
Experience with MRI or YARDI software, a plus
Experience with AvidXchange software, a plus
Detail oriented, analytical and computer literate with proficiency in Word, Excel, PowerPoint and Outlook
A proven record of providing excellent internal and external customer service
Superior verbal and written communication skills
