HR Specialist

to join our Houston team!

In this role, you’ll support day‑to‑day HR operations across both entities, from onboarding and payroll to compliance and employee engagement, ensuring a seamless experience for our team members across Texas. You’ll collaborate closely with leadership to maintain accuracy, compliance, and efficiency while helping foster a positive and consistent workplace culture.

Job Summary The HR Specialist supports the Human Resources Department in executing day‑to‑day HR operations across two entities, ensuring accuracy, compliance, and efficiency. This role is responsible for maintaining HR data integrity, coordinating onboarding, payroll, benefits, and compliance programs, and supporting ongoing workforce administration within ADP. The HR Specialist will play a key role in promoting consistency, ensuring compliance, and enhancing employee experience throughout the employee lifecycle.

Key Responsibilities

Oversee the full recruitment process including managing job postings, maintaining and updating job descriptions, screening resumes and coordinating interviews for key roles, and facilitating new hire onboarding.

Ensure accurate and timely upload and maintenance of employee documents such as W‑4s, I‑9s, and other required onboarding materials.

Conduct ongoing I‑9 audits, track and resolve expiring documents, and ensure full E‑Verify compliance including registration and webinar participation as needed.

Maintain employee records, personnel files, and HRIS data to ensure accuracy, confidentiality, and audit readiness.

Support payroll processing by preparing and reviewing employee data, deductions, and adjustments in ADP; assist with troubleshooting payroll discrepancies and employee inquiries.

Provide ongoing timekeeping and punch support within ADP, ensuring all timecards are approved and accurate prior to payroll deadlines.

Submit and track ADP Support Cases as needed to resolve technical or process‑related issues.

Coordinate tablet orders, ADP timekeeping setup, and user access for new stores or employees.

Manage payroll deduction programs and ensure deduction accuracy and reporting compliance.

Prepare and distribute routine HR reports including headcount summaries, labor distribution, and census data for benefits, ACA, and 401(k) reporting.

Maintain ADP 401(k) employee records and ensure timely updates for withdrawal or loan requests.

Submit benefit and leaves of absence inquiries for employees, ensuring proper documentation and payroll alignment.

Support HR communications, employee engagement events, and company initiatives that promote employee morale and organizational alignment.

Ensure compliance with federal, state, and local labor laws and company policies through routine audits and reporting.

Identify opportunities to streamline HR processes and recommend enhancements to improve efficiency and employee experience.

Other duties as assigned.

Experience & Skills Required

2-4 years of experience in Human Resources, with exposure to payroll, onboarding, and compliance administration.

Experience using ADP Workforce Now or similar HRIS systems for payroll, benefits, and timekeeping management.

Knowledge of HR best practices and compliance requirements including I‑9, E‑Verify, and 401(k) administration.

Strong attention to detail, organization, and confidentiality.

Proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint).

Excellent written and verbal communication skills.

Ability to manage multiple priorities in a fast‑paced environment.

Accountability: Demonstrates ownership and reliability in completing HR tasks accurately and on time.

Analytical Thinking: Uses data and reports to identify trends, ensure compliance, and support decision‑making.

Communication: Maintains clear, professional, and service‑oriented communication with employees and managers.

Compliance & Confidentiality: Upholds all legal and ethical standards when handling sensitive employee information.

Continuous Improvement: Seeks out opportunities to enhance HR systems, processes, and overall efficiency.

Physical Demands and Work Environment

Prolonged periods sitting at a desk and working on a computer.

Frequent use of hands and fingers to handle documents and office equipment.

Occasional standing, walking, bending, and reaching to access files or supplies; ability to lift up to 20 pounds.

Primarily works in a professional office environment using standard office equipment.

Occasional travel to store locations or meetings within Texas may be required.

Standard work hours are Monday through Friday, with occasional extended hours during payroll or project deadlines.
