Job Description and Duties
Provide clerical assistance to the Permitting staff for communications sent to external parties in the form of proofreading and editing materials, performing mailing services, creating files (electronic and hardcopy) as needed to retain copies of outgoing communications.
Independently create and edit documents including reports, charts, spreadsheets, graphs, flyers, fact sheets, correspondence, letters, forms, webpages and emails.
Ensure proper format, grammar, mathematical computations, spelling, correct use of technical terms, and conformity to DTSC and state correspondence guidelines.
Assist with storing documents in the fileroom according to record retention policies and procedures.
Assist in gathering documents for public information inquiries.
Prepare items for meetings including assembling background materials, distributing agendas and minutes, and ensuring all materials and copies are available for participants.
Desirable Qualifications We Look For
Demonstrated experience in meeting, event, calendar and travel coordination.
Demonstrated experience in effective communication to a variety of audiences.
Customer service experience.
Knowledge of administrative functions and organization.
Demonstrated experience in the use of Microsoft Office Suite (Outlook, PowerPoint, Word, Excel) and Adobe.
Special Requirements
The position requires the ability to type at a minimum speed as designated on the Class Specifications. You must obtain a valid typing certificate confirming your ability to meet the minimum typing speed prior to being hired.
